ABOUT THE ROLE
The primary purpose of the Administrator Officer is to maintain the day-to-day running of Qube administration office onsite as well as undertaking activities associated with operations, safety, finance, payroll and human resources.
SPECIFIC RESPONSIBILITIES
- To ensure all contract rates are invoiced to client in accordance with the specific contract
- To ensure all contract conditions pertaining to rates and services are adhered to
- To ensure all relevant paperwork is collated and attached as per invoicing procedures
- To work as directed by the Site Manager
- Maintain employee personnel files
- Maintain IT register and support staff
- Assist Site Manager with stock of safety equipment
- Maintain a register and assist in the processing of employee inductions
- Ordering of office stationary requirements
- General office filing for personnel & training files
- Maintain register for electrical testing and tagging
- Maintain register for first aid kit checks and supplies
- Maintain register for fire extinguisher checks
- Manage stock for mailing and attend to all postal mailing and collection
- Organise delivery of courier parcels
- Supervise office cleaning contractor and general housekeeping
- Manage incoming phone calls
- Attend to office reception – visitors, couriers, contractors and general enquiries
- Manage office correspondence
- Maintain amenities supplies.
QUALIFICATIONS AND EXPERIENCE
- A minimum of 2 years previous experience in a similar role
- Previous billing/invoicing experience highly regarded
- Strong interpersonal skills and the ability to communicate with a variety of people
- Advanced skills using Microsoft Office, Excel and Power point
- Ability to work autonomously using a proactive approach to task resolution
- Ability to be flexible and adaptable to work in a demanding environment
- Ability to work well within a small team environment.
