Primary Purpose

The primary purpose of the Administration Assistant is to maintain the day-to-day running of Qube's Kembla Grange operation administration office onsite as well as undertaking activities associated with operations, safety, finance, payroll and human resources. In addition, processing of Accounts Payable invoicing and Accounts Receivable will be required.

Specific Responsibilities

  • Coordinate day to day administrative requirements for the office
  • Provide administrative support to the Operations Managers
  • Foster positive working relationships with the workforce through communication, consultation and negotiation.
  • Foster positive external relationships with suppliers
  • Stationery maintenance
  • Procurement as required/requested via Mainpac and Peoplesoft
  • All facets of accounts payable and receivable
  • Liaise with National Injury Management Advisor to maintain workers compensation spreadsheet
  • Check fortnightly pays and report to Payroll
  • Book flights for staff when required through Egencia
  • Record and maintain accruals based on work throughout the month for AR
  • Entry of AP invoices into Mainpac and Oracle system
  • Record and maintain accruals for AP based on information provided and processed
  • Reconciliation of accounts at month end
  • Other ad hoc duties as required to assist with the finance function
  • Maintenance of all files and records associated with the role

Be Prepared To Work Safely

  • Report to duty in a fit state, free from fatigue the influence of alcohol or other drugs
  • Wear required Personal Protective Equipment and operate plant equipment safely
  • Participate in consultation activities regarding matters affecting your health, safety and welfare
  • Participate in relevant HSE training and maintaining your HSE related competencies
  • Engage in Work only when in possession of required and current Certificates of Competence

Qualifications and Experience

  • Minimum of 3 years office experience
  • Strong interpersonal skills and the ability to communicate with a variety of people
  • Advanced skills using Microsoft Office, Excel and Power Point.
