The Enrollment Services Specialist position is responsible for assisting students and others with functions related to the student services division at the Rampart Range Campus. The Rampart Range Campus has a consolidated student services office where students go for information and help with recruitment, admissions, enrollment, financial aid, records, advising, and testing services. This position acts as the first point of contact and provides guidance to students to complete all tasks related to student services and provides administrative support to colleagues at the Rampart Range Campus. Enrollment Services Specialists work with prospective, admitted, and current students to provide detailed information about and help with all student services processes from admission through enrollment and applying for graduation.

Reports to: Assistant Director 

Minimum Qualifications

  • Completed Bachelor's degree from a regionally accredited institution OR completed Associate’s degree with two years of professional level experience performing similar duties to those described for this position OR four years of experience performing similar duties to those described for this position.
  • One year of professional level experience in admissions, enrollment, or other student services areas.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two years of professional level experience in admissions, enrollment, or other student services areas.
  • Demonstrated experience working directly with students in a student services setting. 
  • Ability to read, write, and speak fluent Spanish.

Essential Functions 

Enrollment Services

The Enrollment Services Office is a one-stop-shop for all student services functions at the Rampart Range Campus via counter support, registration and advising phone support, one on one appointments SMS and web chats. This position welcomes walk-in students, discuss their needs or questions, and provides comprehensive assistance with completing the function they came to complete, or guiding them to the correct resources as needed. Services include:

  • Advising prospective students who are interested in learning more about PPSC and exploring where to go to college.
  • Assisting prospective students with their admission application and resolving questions related to admissions, COF, and residency classification.
  • Guiding new admits through the enrollment process.
  • Explaining the benefits of admissions counseling and academic advising and making follow-up appointments as needed.
  • Ensuring student’s records are accurate and assisting them with updating their records as needed.
  • Checking students in for their appointments with other services in on campus.
  • Utilizing the student information system, Ellucian Banner, to understand a student’s financial aid status and assisting them with completing their financial aid processes and accepting awards.
  • Educating students about the benefits and requirements for federal and state financial aid and helping them apply for aid via the FAFSA or CASFA.
  • Advising students of payment options and assisting them with payment processes.
  • Solving problems that the student has related to enrollment, payment, retention, and graduation processes.

Advising & Testing Services 

The Specialist position provides support to the Rampart Range Campus Advising & Testing for walk-in students, over the phone, via email, text, and webchat. The position triages student questions to ensure advising appointments aren’t made unnecessarily when a student’s question can be resolved more quickly, and by assigning the right advisor and making an appointment when an advising appointment is needed. The Specialist explains placement options and procedures, helps the student submit and understand relevant academic history, and makes appointments for them to take a placement test if needed.

Document Processing

Several student services processes require a student to submit documentation to resolve a discrepancy, complete an application, or update their records. This position ensures students are submitting the correct documents for their intentions. The position processes student files and other documents received in support of helping students complete student services processes. They participate in quality control processes and procedures to ensure and improve document processing.

Training and Supervising Assistance

Assist the Enrollment Services Manager with training student staff. Student staff provide tier 1 support at the front desk, and this position will help the manager with training student staff and being a resource for them when determining if a question or need should be referred to a professional staff member or if a student staff member can help resolve the issue. Act as a proxy for the Enrollment Services Manager when supervisor approvals are needed related to timesheets when the manager is not available.

Other Duties and Responsibilities

Participate in software, process, and skill training and professional development. Attend, and occasionally lead, job specific workshops, conferences, trainings, and other professional development opportunities. Perform other duties as assigned

  • Knowledge of current labor market trends and career information resources.
  • Knowledge of Colorado residency classification law, policies, and procedures.
  • Knowledge of federal financial aid processes and procedures.
  • Ability to learn and use multiple software systems to support operations.
  • Demonstrated experience with Microsoft Office Word, Excel, PowerPoint, and Outlook.
