The Online Scheduling Coordinator manages the creation and maintenance of the online course schedule for Colorado Online at Pikes Peak State College. This role ensures optimal course availability and instructor coverage, aligned with institutional goals. This role will act as the primary point of contact between FLAC and the Division of Online Learning for issues related to schedule policies, procedures and guidelines. In addition, this person will answer questions from the registrar, scheduling, Colorado Online Student Success Liaisons, faculty, instructors, and other stakeholders and provide advice on the management of Colorado Online course sections and related policies and procedures at PPSC. The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and division needs. May require occasional travel to other campuses to support program needs.

Minimum Qualifications

  • Completed Bachelor’s degree from a regionally accredited institution.
  • One year experience in higher education or distance education that includes working with enrollment or student services.
  • One year experience with learning management and student information systems.

OR

  • Completed Associate’s degree from a regionally accredited institution.
  • Two years of experience in higher education or distance education that includes working with enrollment or student services
  • Two years of experience with learning management and student information systems.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Completed Bachelor’s degree in education, business, data analytics, instructional technology, or related field.
  • Two or more years of experience in academic scheduling, registrar services, or online program coordination within a higher education setting.
  • Experience working with course scheduling systems, such as Banner, and familiarity with FLAC processes and academic planning workflows.
  • Proficiency in using learning management systems (e.g., D2L Brightspace) and student information systems to support online learning operations.
  • Demonstrated ability to analyze enrollment and scheduling data to inform strategic decision-making.
  • Experience supporting or coordinating online or consortium-based course offerings, such as those under Colorado Online or similar systems.
  • Strong collaboration skills with the ability to coordinate across multiple departments and communicate effectively with faculty, staff, and administrative stakeholders.
  • Familiarity with higher education policy and procedures related to course scheduling, instructor assignments, and distance education compliance.
  • Demonstrated commitment to equity, inclusion, and serving diverse student populations in an online learning environment.
  • Ability to read, write, and speak fluent Spanish.

Essential Functions 

  • Oversees, ensures for accuracy, and maintains Colorado Online course schedule each term. This includes confirming course offerings with academic departments based on criteria established by the consortium agreement procedures, participating in wild card selection process, auditing the rolled over courses each term, working with FLAC to cancel unneeded courses and requesting new course builds.
  • Works with academic departments and appropriate stakeholders to assign instructors to courses in to ensure appropriate coverage of all online courses.
  • Monitor and report on scheduling data to inform strategic decisions.
  • Reviews enrollment data and provides regular reports to the Executive Dean of Online Learning and other stakeholders on enrollment trends and works with the Division of Online Learning staff to develop strategic enrollment practices.
