Purpose Statement
The assistant to the executive dean of online learning supports the executive dean in organizing and managing division operations, overseeing division budget and data needs, managing scheduling, coordination, reciprocity reporting, and communication regarding distance education programs for PPSC, especially related to Colorado Online and learning design, and supervising department staff. This role supports administrative operations, ensuring efficient communication, coordination, and project management across the division, serving as a key resource for managing schedules, correspondence, and special initiatives. This position will demonstrate a strong commitment to the value of diversity among students and staff, as well as sensitivity to and understanding of diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of PPSC and CCCS online students. This position encourages and fosters an atmosphere of trust and respect in which all can succeed.
The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and division needs. May require occasional travel to other campuses to support program needs.
Minimum Qualifications
- Completed baccalaureate degree from a regionally accredited institution OR completed associate’s degree with two years of professional level experience performing similar duties to those described for this position
- Two years of successful administrative experience.
- Two years of professional level experience in organizing or managing department operations.
- Two years of successful experience using word processing, database, and spreadsheet software.
Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge. Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.
Preferred Qualifications
- Three or more years of successful experience in organizing or managing department operations.
- Experience with Office 365, web-page design, Adobe Suite, HTML 5, Camtasia, or comparable software.
- Experience with a Learning Management System.
- Executive assistant experience.
- Demonstrated understanding of the college mission.
- Demonstrated progressive leadership ability and successful record of innovation.
- Demonstrated resilience and ability to embrace change in the ever-changing environment of higher education.

Essential Functions
Executive Assistance
- Provide executive support to the executive dean, associate deans, and directors, acting as a point of contact to ensure smooth operations for the division.
- Coordinate a high-volume and fast-paced office environment, maintaining a positive work environment and high productivity.
- Collaborate with various divisions and departments across the college to implement collegewide initiatives and division-specific events, and foster community partnerships.
Liaison Support
- Act as the primary point of contact to ensure smooth operations for the division, collaborating with various divisions and departments across the college to implement collegewide initiatives and division-specific events.
- Coordinate with facilities, ITSS, and other departments to ensure the daily needs of the division and the Center for Teaching Excellence and Learning are met, promoting online programs and ensuring students receive the highest level of support.
- Create and maintain effective communication channels with community partners and collaborators, fostering relationships that support the division's goals and initiatives.
- Assist in managing scheduling and coordination for Colorado Online and other distance education programs, ensuring alignment with community and institutional objectives. Coordinates closely with FLAC and divisions to ensure smooth roll out of course schedules and online terms.
Division Operations
- Oversee the supervision of administrative staff, ensuring support, training, and scheduling are effectively managed.
- Coordinate division administrative support coverage and oversee assigned duties to ensure quality and completion.
- Maintain a professional and positive work environment with high service standards.
- Develop goals and manage the completion of the annual evaluation process for administrative staff.
- Communicate information as requested by the executive dean and approve timesheets.
- Collaborate with human resource services to develop and deliver corrective actions, performance improvement plans, and coaching plans.
- Identify professional development needs and coordinate with appropriate departments to develop, plan, and deliver training.
- Resolve minor departmental issues and office support concerns efficiently.
Strategic Planning and Budget Management
- Prepare reports, presentations, and correspondence for division leadership, monitoring project timelines and supporting strategic initiatives.
- Oversee the divisional budget, managing budgetary needs and monitoring professional development funds for staff.
- Research and coordinate grant opportunities relevant to distance education.
Professional Development and Training
- Assist the Executive Dean of Online Learning and CETL with professional development related to distance education, Colorado Online, and the Learning Management System (LMS).
- Organize department events and professional development opportunities to integrate eLearning with the larger PPSC campus community.
- Ensure training records are maintained and accessible, overseeing department databases such as SharePoint.
Compliance and Communication
- Maintain a working knowledge of changing laws and rules related to reciprocity agreements (SARA and others) and state reporting for online and distance education.
- Maintain eLearning/online learning webpage updates and ensure effective communication of information as requested by the executive dean.
- Assist in managing scheduling for Colorado Online and other distance education programs, coordinating with divisions to ensure smooth rollout of course schedules and online terms.
