The primary responsibility of the Assistant Director of Enrollment Services is to lead a team that provides service to prospective, admitted, continuing, and graduated students on all enrollment related functions and processes. The Assistant Director of Enrollment Services leads the college’s Call Center team, as well as the in-person customer service team at the Centennial Campus. Enrollment Services is key to supporting the mission and goals of the college, and this position develops and executes strategic

Enrollment Services plans to achieve enrollment goals. This position establishes and nurtures relationships with key stakeholders across the college to improve access to education, remove barriers to enrollment, and ensure students receive the service needed to understand their options for paying for college. Provides leadership, guidance, and training on policies and processes related to enrollment. This position is the primary administrator of the First Nations Promise Program and is responsible for administering and assessing access to the FNPP. This role emphasizes leadership, training provision, activity coordination, and developing high quality services for all PPSC students with the goal of providing access to PPSC, enrollment in courses classes, and coordinated support to students from all student services departments.

The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.

Minimum Qualifications

  • Completed bachelor’s degree from a regionally accredited institution OR completed associate degree with two years of professional level experience performing similar duties to those described for this position OR four years professional level experience performing similar duties to those described for this position.
  • Two years of professional experience in enrollment services in higher education.
  • Two years of professional experience in higher education leadership or management with direct supervisory experience.
  • Two years of professional experience in leading a higher education call center.
  • Demonstrated experience administering promise program acceptance processes.
  • Demonstrated experience leading a team that provide reactive student services and document intake/processing at a customer service desk, over the phone, via email, and text message.
  • Demonstrated experience using Ellucian Banner and EAB Navigate.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Completed Master’s degree from a regionally accredited institution.
  • Demonstrated experience building collaborative relationships with departments across the college.
  • Demonstrated experience using relevant higher education technology.
  • Bilingual in English and Spanish

Essential Functions 

Leadership & Supervision: This position leads the operations of the college’s Enrollment Services team and supervises the Call Center and Centennial Enrollment Services staff. Responsible for supervising, training, evaluating, and coaching staff. Oversee the onboarding of new hires and directs the team’s professional development. Manages the budget for the Enrollment Services team.

Enrollment Services: Direct and supports function, services, and processes related to the enrollment of admitted and continuing students. Collaborate with other student services departments, High School Programs, Student Accounts, and academic divisions to support and adjust enrollment processes for students. Enrollment Services entails working with departments across the college and with students to help them navigate the class enrollment process, help students access various ways to receive aid to pay for college, and troubleshoot all manners of enrollment related topics to best serve students and continuously improve the student experience. The Assistant Director of Enrollment Services evaluates the effectiveness of these services, develops and implements improvements, and is responsible for ensuring that students understand and receive the support they need to enroll, pay their tuition, access the resources and knowledge they need to have a successful start at PPSC. Utilizes Ellucian Banner and Recruit, WebEx Call Center Software, EAB Navigate360, and SMS tools (currently Gecko Engage) for student support.

Student Services: Direct the operations of the Centennial Campus student services office which provides walk-in customer service to all students, intakes and processes admissions, enrollment, financial aid, and records forms. Also directs the operations of the college’s call center including administration of the Admissions, Financial Aid, operator, and Spanish support phone lines. Incorporates student staff into the operation of services and directs the staff who oversee student tasks and performance.

First Nations Promise Program: Develop and direct the administration of the college’s First Nations Promise Program. Evaluate student eligibility, coordinate with financial aid and the Promise coaching teams, and operate the application and communication processes for the program. Assess and improve the FNPP process ensuring awareness of the program and equitable processes for acceptance. Lead outreach events promoting and educating the community about the First Nations Promise Program.

Reporting & Assessment: Leads the implementation, tracking, and reporting of enrollment services initiatives. Performs data-informed analyses of the impact and performance of enrollment services. Continuously improves operations based on quantitative and qualitative assessments.

Other Admissions, Recruitment, and Enrollment Services Activities: Participates in Admissions, Recruitment, and Enrollment activities. Serves on college-wide teams and committees as requested. Attends pertinent professional development workshops/conferences. Performs other duties and projects as assigned.

  • Higher Education Knowledge: Familiarity with student services in higher education, with an emphasis on student admissions and enrollment tailored to a state college community.
  • Policy Familiarity: Strong working knowledge of college and system policies and procedures specifically related to admissions and enrollment.
  • Student Support: Knowledge of state laws, college policies, resources, and services relevant to supporting students who may face barriers accessing education, financial aid, and career opportunities.
  • Teamwork and Independence: Ability to work seamlessly both independently and as part of a diverse team.
  • Technology Proficiency: Demonstrated experience with student information systems and customer relationship management systems. Daily proficiency in Microsoft Office applications, including the ability to design, create, and maintain forms, reference materials, databases, and training resources. Proficiency with communication technology.
  • Project Management: Aptitude for effectively prioritizing and managing multiple projects, ensuring deadlines are met without compromising quality.
  • Location Flexibility: Willingness and ability to work at all four main PPSC locations (Centennial Campus, CHES, Downtown Campus, Rampart Range Campus)
