JOB SUMMARY

The UConn Speech and Hearing Clinic in the Department of Speech, Language and Hearing Sciences seeks applicants for a Administrative Program Support 1. This is a full-time position, Monday through Friday. The incumbent will provide front office services for a fast-paced clinic seeing patients in the medical areas of audiology and speech language pathology, with routine, direct contact with pediatric and adult populations. The Administrative Program Support 1 is primarily responsible for facilitating excellent communication between customers and staff, accurate scheduling, and effectively coordinating all clerical aspects of the customer’s medical care.

DUTIES AND RESPONSIBILITIES

  • Greets patients and visitors in a pleasant and professional manner for appointment check-in, check-out, and walk-ins. Ensure all required patient check-in documentation is signed
  • Schedules patient appointments accurately.  Informs patients of essential preparation requirements before visit and mails patient paperwork before appointment. Manages scheduling from a variety of sources to include phone calls, walk-ins, fax referrals and post-appointment
  • Answers a high volume of incoming calls promptly and professionally, evaluates priority, and directs calls appropriately according to urgency and subject matter.
  • Collects co-payments and office charges as needed and explains office payment billing policies to patients.
  • Understands complex and nuanced insurance policies related to audiology and speech language pathology.
  • Supports the management of health information.
  • Assists in the processing of documents and medical records within the department and responds to external inquiries.
  • Scans reports into existing records and performs other record maintenance issues.
  • Handles Release of Information requests according to regulatory and department policies governing disclosure of information
  • Maintains HIPAA compliance on all files
  • Performs general office duties to include filing, scanning, mailing, and faxing. Coordinate workflow and processes in the clinic.
  • Responsible for successfully multi-tasking in a fast-paced environment and managing routine interruptions professionally.
  • Routinely support multiple constituents to include patients, faculty, staff, and students.
  • Performs related duties as required.

MINIMUM QUALIFICATIONS

  1. Associate’s degree and two years of related experience.  In lieu of a degree, 4-5 years of administrative healthcare experience.
  2. Experience with patient scheduling.
  3. Attention to detail.
  4. Strong communication skills.
  5. Demonstrated experience with cash handling.
  6. Demonstrated experience working with various insurance providers and understanding of co-pay charges and patient balances.

PREFERRED QUALIFICATIONS

  1. Five years of experience in a healthcare or university setting.
  2. Experience with audiology and/or speech-language pathology.
  3. Experience with TIMS Electronic Medical Record.
  4. Point of sale experience.

APPOINTMENT TERMS

This position is funded by the UConn Speech and Hearing Clinic and is a full-time, end-dated position with the possibility of renewal subject to performance and funding.  Salary will be commensurate with the successful candidate’s background and experience.
