JOB SUMMARY
The Biomedical Engineering Department is seeking applicants for an in-person, full-time Administrative Program Support 1 position to support the administrative, educational, and financial functions in the Department and program.
The purpose of this position is to provide administrative support in processing and maintaining purchasing, travel, and financial records, supporting graduate program activities and educational events.
DUTIES AND RESPONSIBILITIES
- Coordinate all responsibilities related to seminar speakers; gather and facilitate information on visits to align with departmental needs and expectations, including travel arrangements, accommodations, and itineraries.
- Submit and coordinate travel reimbursements for the department, including but not limited to seminar speakers, faculty, and students.
- Responsible for attending to the centralized department email to coordinate the purchasing requirements of the department and grant accounts.
- Manage all deliveries coming into the department and distribute them appropriately.
- Provide general front office support, including answering phones, responding to inquiries, directing calls, greeting visitors to the department, and receiving mail and deliveries.
- Manage any facility-related work orders and key control in the department.
- Submit Disbursement Vouchers and Fellowships as directed by the Fiscal Officer
- Serve as backup for ProCard users and reallocations.
- Assemble data, prepare administrative reports, and place announcements in Daily Digest and other websites.
- Maintain the confidentiality of information and professional boundaries.
- Work independently analyzing information, drawing conclusions and understandings.
- Communicate effectively through both oral and written means.
- Perform other duties as required by the department.
MINIMUM QUALIFICATIONS
- Associate’s degree and at least two years of related experience. An equivalent combination of education and experience may be substituted for the degree and years requirement.
- Experience with financial transactions such as bookkeeping, travel reimbursements, and/or ordering.
- Demonstrated ability to work independently with the ability to solve problems efficiently and effectively.
- Proficient in the use of all Microsoft Office applications.
- Excellent communication, organizational, written, phone, and interpersonal skills.
PREFERRED QUALIFICATIONS
- Bachelor’s degree.
- Experience in working in a higher education environment.
