JOB SUMMARY

Under the general supervision of the Finance Manager, the Billing Coordinator will provide direct support to administer all aspects of the billing process related to student fees for all residential campuses. This position provides oversight to the billing processes for winter and summer housing, including conferences, campus, summer school, athlete preseason, and early arrivals.

DUTIES AND RESPONSIBILITIES

This position works under the direction of the Finance Manager for the department of Housing Administration and Finance.  This position collaborates with Dining Services finance staff to ensure accurate use of the software used to bill residential students for dining. Additionally, this position works collaboratively with the Bursar’s Office staff as well as the UConn audit to resolve student billing issues related to campus housing fees and charges.

  1. Coordinates billing processes for residential life housing and damage fees. This includes, but is not limited to, export fees, reconciling charges with money collected, modifying charges when necessary and processing waivers and credits for each billing cycle of the year. 
  2. Coordinates the billing codes in the housing software, creates terms, and upgrades the system when necessary. This includes thorough testing and monitoring. 
  3. Provides University staff with data related to housing fees, which are then used for auditing and budget construction purposes. 
  4. Responds to billing inquiries from students, parents, and other constituent groups. Analyzes the problem, recommends solutions, and implements decisions. 
  5. Coordinates housing revenue budget data and reconciliations for Storrs and Stamford housing assignments, and creates reports. 
  6. Responsible for shadow budget maintenance by recording financial encumbrances, expenditures and preparing financial reports.
  7. Assists the supervisor in the reconciliation of departmental budget, control of expenditures, and monthly reports.
  8. Performs office management duties; directs workflow and supervises administrative paperwork, including fiscal records, travel, reimbursements, and required compliance records.
  9. Reviews operating procedures for efficiency and effectiveness. Makes minor changes or recommends major changes and improvements.
  10. Performs additional duties as requested by the supervisor.

MINIMUM QUALIFICATIONS

  • Bachelor's Degree.
  • Two (2) to Three (3) years of related experience.
  • Demonstrated experience working independently and providing program support, while regularly exercising judgment regarding a wide variety of administrative matters.
  • Demonstrated understanding of, stated commitment to, and/or experience working with diverse populations.

PREFERRED QUALIFICATIONS

  • Demonstrated knowledge and experience using housing software systems.
  • Experience working in a collegiate setting.
