JOB SUMMARY

Under the direction of the Assistant Director for Event Services, the Student Union Event Planning Coordinator (Student Services Program Coordinator) will advise, coordinate, and provide logistical assistance to customers regarding requests for services and facility use.

DUTIES AND RESPONSIBILITIES

  1. Plans, coordinates and schedules logistical details required to conduct events, seminars, programs, etc., in varying sizes and scope within the Student Union and those facilities under its jurisdiction, providing onsite support for select events. This includes events held outdoors throughout campus.
  2. Coordinates and advises faculty, staff, students and outside organizations in planning, coordinating and managing all aspects of their on-campus events.
  3. Serves as a resource to students, faculty, staff and others on event planning policies, regulations and procedures; is responsible for thorough knowledge of applicable policies, regulations and laws, student organization requirements and facility resources and capabilities. Processes and maintains necessary paperwork, records and files required to support events using Event Management System (EMS) and Diagramming Software (Social Tables).
  4. Assists with the process of reviewing operating procedures for efficiency and effectiveness; recommends changes for improvement; participates in the planning and decision-making process regarding new or changed procedures. Works with the Event Services team to write departmental goals and works in collaboration with colleagues to achieve them; produces reports on event related data.
  5. Makes referrals to supervisor or other managers as needed.
  6. Assists and advises students, faculty, staff and others with budget planning for events, which includes fee structure, invoicing process, and student organization fundraising policies and regulations.
  7. Assists with all student and staff development, training, and assessment needs as needed.
  8. Supports an environment that encourages, values, and delivers outstanding customer services.
  9. Performs other duties as required.

MINIMUM QUALIFICATIONS

  • Bachelor's Degree and three to four years of related professional experience or a Master's Degree and a minimum of one year of related professional experience.
  • Demonstrated planning and organizational skills.
  • Demonstrated experience communicating information effectively.
  • Demonstrated interpersonal skills necessary for effective work relationships.
  • Articulated commitment to, demonstrated understanding of and/or experience working with diverse populations.
  • Demonstrated decision-making skills in a complex organization.
  • Demonstrated experience working independently and taking initiative in resolving problems.

PREFERRED QUALIFICATIONS

  • Professional experience in event planning.
  • Professional experience working in a college/university setting.
  • Proficiency in EMS or other event management computer software.
  • Knowledge of Social Tables or other meeting room diagramming software.
  • Working knowledge of audiovisual equipment and set-up requirements.
  • Demonstrated experience training staff in work-related topics, i.e., customer service.
