JOB SUMMARY

Under the general supervision of the Senior Director of Governmental Relations and the University Education Assistant 1, this position independently provides office management and support services. The incumbent will assist in a variety of associated administrative, fiscal, staff support, and planning activities, budget administration and control, specialized record keeping and database management, and other projects.

DUTIES AND RESPONSIBILITIES

  1. Processes administrative, business and personnel paperwork; reviews and has signatory authority on paperwork for accuracy and adherence to policies and procedures.
  2. Monitors and stays informed of current governmental relations-related events, meetings, hearings, and conferences.
  3. Drafts and/or edits correspondence, testimony, and reports containing information which requires a knowledge of policies, procedures, and data sources.
  4. Assists in coordinating a wide range of administrative functions for the Office of Governmental Relations, including arranging special events, managing calendars, planning complex meetings, travel and itineraries in collaboration with faculty, staff and industry leaders.
  5. Assists in the management and monitoring of the approved budget.
  6. Assists in developing, communicating, and distributing sensitive and confidential information related to collective bargaining and/or other sensitive matters.
  7. Performs related duties as required.

MINIMUM QUALIFICATIONS

  1. Bachelor’s degree with one to three years’ experience in a responsible office support position; or an equivalent combination of education and experience. 
  2. Demonstrated writing and editing skills. 
  3. Interpersonal and communication skills with experience developing strong working relationships with internal and external collaborators. 
  4. Demonstrated organizational skills with experience resolving administrative problems efficiently, effectively, and independently. 
  5. Demonstrated attention to detail.  
  6. Experience managing complex calendars and coordinating meetings involving senior-level participants. 
  7. Demonstrated experience with Microsoft Office applications including Microsoft Excel, PowerPoint, and Word and the ability to learn new software as necessary. 
  8. Experience working in a high-volume and fast-paced environment. 

PREFERRED QUALIFICATIONS

  1. Experience in a responsible administrative support position. 
  2. Familiarity with University policies and procedures. 
  3. Familiarity with the Connecticut General Assembly website and legislative process.  
  4. Demonstrated proficiency in the management and execution of high-quality events. 
  5. Experience maintaining calendars and scheduling meetings with many participants. 
  6. Experience with graphic design software such as Canva Pro.  
  7. Experience manipulating large data sets in Excel. 
  8. Experience with website content management. (e.g., WordPress) 

APPOINTMENT TERMS

This is a full-time, 12-month, permanent, confidential/exempt position based in Storrs, CT. This position may require nights and weekends when necessary. The salary range for this position is $62,000 to $75,000, depending on education, qualifications, and experience.
