JOB SUMMARY

The University of Connecticut is seeking a highly organized, collaborative, and service-oriented University Education Assistant 2 (Administrative Assistant) to provide administrative support to the Chief of Staff and other key University officials.

This position offers an opportunity to work in a dynamic executive-level environment and contribute to the effective operation of the President’s Office. The successful candidate will coordinate high-level meetings and travel, support budget and financial activities, serve as a liaison with University and external stakeholders, and assist with special projects and other important office initiatives.

This is an excellent opportunity for an experienced administrative professional who enjoys managing multiple priorities, working with a broad range of constituents, and contributing to a highly visible University office.

DUTIES AND RESPONSIBILITIES

  1. Schedule and coordinate meetings and conference calls through the preferred medium; confirm all appointments via email or phone; prepare agendas and assemble necessary meeting materials.
  2. Coordinate travel arrangements including flight scheduling, booking hotels, and registration; process travel authorizations and travel and mileage reimbursements.
  3. Manage operating budgets and accounts for the President’s Office, NCAA-Rep, BOT, Convocation, Commencement, and Ombuds; provide monthly budget reports and submit budgets on behalf of various university officials; oversee the UConn Foundation operating budget.
  4. Triage requests for disbursements, travel, and requests from university departments through relevant systems on behalf of the Chief of Staff. Review and renew the President’s memberships as needed.
  5. Review timecards for the Chief of Staff’s direct reports.
  6. Serve as a liaison between the Chief of Staff and other University administrators, members of the Board of Trustees, public and private officials, various committees and boards, faculty, staff, and students.
  7. Support searches and provide backup support to the President’s executive assistants and other office personnel as needed.
  8. Track and order stationery, office equipment, and supplies for the President’s Office, Ombuds Office,  and Board of Trustees.
  9. Assist with special projects as assigned, providing research, coordination, and administrative support.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in a related field or an equivalent combination of education and experience.
  • At least 3 years of related administrative experience.
  • Knowledge of time management.
  • Interpersonal skills including the demonstrated ability to deal effectively with internal and external constituents, such as donors, alumni, and board members.
  • Proficient computer skills, including knowledge of most Microsoft programs, including Word, Excel, PowerPoint, Teams, and Planner.
  • Proven experience or ability to plan and coordinate meetings, including preparing agendas and assembling necessary materials.
  • Experience preparing budget reports and managing operating budgets.
  • Experience handling confidential information with discretion and managing multiple tasks and projects simultaneously.

This is a full-time position located at the Storrs campus.
