Job Description

Serve as administrative assistant for the Dean’s Office in the Pamplin College of Business. Provide administrative support to the Associate Dean of Research, Centers, and Graduate Programs and the Associate Dean of Strategic and Global Initiatives and Innovation. The ideal candidate will have a strong customer-service work ethic, display initiative, good judgement, a high-level of professionalism, organization, approachability, accessibility, and responsiveness to the diverse constituents we serve. This applicant must have the ability to handle sensitive/confidential information with discretion. Individual will be responsible for scheduling meetings, maintaining detailed calendaring entries, creation of meeting materials and presentations, scanning and filing, and managing orders through HokieMart and other resources. This includes the development of PowerPoint presentations, Excel charts, and composing and editing various documents. Individual will be responsible for reviewing, generating, and analyzing mass data reports to highlight and summarize key information from various databases. Individual will also be responsible for the Building Emergency Coordinator role. The individual will schedule courses offered by Emergency Management and the Virginia Tech Police Department, keep the Registrar’s Office informed on safety concerns in classrooms, and maintain the Emergency Action Plan. Individual will assess classrooms and offices on a regular basis for safety concerns and seek corrective action from appropriate resources.

Required Qualifications

Experience providing high level administrative support and customer service in a professional office environment; proficiency with computer applications, strong organization, communication, and interpersonal skills; ability to maintain confidentiality; ability to organize and promptly process and prioritized varied assignments; ability to locate information from any source, using the web or university resources. Demonstrated ability to manage multiple higher education calendar schedules. Experience in Emergency Management or a First Responder role. Demonstrated ability to assess safety needs in a classroom and office environment.

Preferred Qualifications

Associates/Bachelor’s degree in a related field or equivalent work experience; composition, proofreading and editing experience; event planning experience; university experience; experience with HokieMart; experience with security measures and policies.
