Job Description

Serve as administrative assistant for the Apex Center for Entrepreneurs in the Pamplin College of Business. Reporting to the Assistant Director of Operations, this position will provide operational support to the Center, manage the Apex Center co-working space, and provide administrative support to the Apex Center Executive Director. The Individual will be responsible for scheduling meetings, and maintaining detailed calendaring entries. The ideal candidate will have a strong customer service work ethic, display initiative, good judgment, a high level of professionalism and organization. This applicant must be able to handle sensitive/confidential information with discretion. The ideal candidate will continually seek ways to enhance the Apex Center space, including space utilization, logistics and reservations and amenities. This position is accountable for supporting space operations. This includes ordering supplies, managing space reservations, such as event use requests and conference room use, and overseeing Apex Center student space ambassadors. This position will also be responsible for supporting the Center’s finance needs including reimbursements, HokieMart payments, Virginia Tech Foundation payments, scholarship processing and invoice submission.

Required Qualifications

Experience providing high-level administrative support and customer service in a professional office environment; proficiency with computer applications, strong organization, communication, and interpersonal skills; ability to maintain confidentiality; ability to organize and promptly process and prioritize varied assignments. Demonstrated ability to manage multiple higher education calendar schedules. Experience tracking payments and reimbursements.

Preferred Qualifications

Associate/Bachelor’s degree in a related field or equivalent work experience; email communications proofreading and editing experience; event planning experience involving senior executives and external stakeholders such as advisory boards; university experience; experience with HokieMart; experience with processing financial documents.
