We’re currently searching for an Administrative Assistant to join our Advancement team in Blacksburg, VA, to help support the programs and services of Student Affairs. HERE'S WHAT YOU NEED TO KNOW ABOUT THIS ROLE:
1) Managing office logistics including unlocking/locking the office during regular business hours, serving as the first point of contact for the Advancement office in Student Affairs, answering phones, scheduling internal and external meetings, managing calendars, making travel arrangements, and processing and tracking reimbursements.
2) Handling correspondence, via written and verbal, with donors, volunteers, and others (like gifts to Registered Student Organizations), including responding to requests, composing and proofing all written materials for accuracy, appearance, and compliance, preparing and coordinating mass emails and mailings, creating/entering contact reports, and maintaining updates to the Advancement team's annual Work Plan.
3) Generating and maintaining departmentally related reports and spreadsheets using university database systems and Excel.
4) Serving as the department’s DAPN (Department Administrative Professionals Network) representative to Student Affairs Human Resources.
5) Maintaining office inventory and use HokieMart to enter office supply orders and handle reimbursements.
Sustaining a professional presence while keeping organized and flexible.
6) You’ll be reporting directly to the Chief Advancement Officer (CAO), Student Affairs.
7) You’ll be offered a base compensation package between $36,000-$42,000, along with a comprehensive benefits package that includes health insurance, paid leave, retirement, tuition assistance, VT discounts, and so much more!

- Experience with professional-level administrative support.
- Experience working with highly sensitive materials and always maintaining confidentiality.
- Proven ability to work well under pressure, prioritizing tasks in a fast-paced environment, while maintaining composure.
- Demonstrated experience using Microsoft applications including Excel, Word, PowerPoint, Outlook, and OneNote.
- Demonstrated excellence in verbal and written communication, including the use of proper grammar and spelling.
- Bachelor's degree in a related field or equivalent combination of education and/or experience.
- Demonstrated ability to work independently while working as a member of a team.
- Proven professional ability to anticipate needs and proactively solve problems.
- Experience with Blackbaud/AIMS, Banner, HokieMart, and other Virginia Tech enterprise systems.
- Experience working in higher education and/or fundraising.
The successful candidate will be required to have a criminal conviction check.
