This position provides comprehensive administrative and project coordination support to the Senior Director of Gift Accounting and Information Systems, ensuring the effective execution of projects, timelines, and reporting across Gift Accounting, Data Reporting, Strategic Initiatives, and Data Management teams. The role serves as a key project coordinator, facilitating alignment on overlapping initiatives while supporting priority projects critical to advancing the office and division's objectives. The ideal candidate thrives in fast-paced, collaborative, and diverse environments, demonstrating resilience, adaptability, and a commitment to process improvement. They should approach responsibilities with thoughtfulness and intentionality, balancing multiple priorities while delivering high-quality results.
Key Responsibilities:
- Administrative Support: Provide executive-level administrative support to the Senior Director of Gift Accounting and Information Systems, including calendar management, meeting coordination, and correspondence.
- Project Coordination: Manage overlapping projects and initiatives, ensuring timely progress, clear communication, and alignment across Gift Accounting, Data Reporting, Data Management, and Strategic Initiatives teams.
- Operational Collaboration: Assist with daily operations, collaborating closely with the Directors of Gift Accounting, Data Reporting, Data Management, and the Strategic Initiatives Manager to streamline workflows and support organizational goals.
- Budget and Contract Tracking: Monitor budgets, track contract needs, and manage invoice tracking and reconciliation to ensure accuracy and efficiency in financial processes.
- Priority Projects: Support the Senior Director on high-impact projects, providing research, organization, and coordination to drive successful outcomes.
- Reporting and Documentation: Prepare and maintain detailed documentation and reporting on key projects, ensuring stakeholders are informed and aligned.
Demonstrated experience producing professional business correspondence, presentation materials, and other organizational documents or electronic communications.
Proven success in contributing to team projects with competing deadlines while working independently.
Documented history of leading projects and implementing process improvements to optimize operational efficiency.
Experience managing shifting priorities and maintaining high-quality outcomes in a fast-paced environment.
Demonstrated success in communicating effectively within collaborative and diverse work settings.
Evidence of a thoughtful and intentional approach to project work, as reflected in measurable results.
Bachelor's degree or equivalent experience
Previous experience working in a relational database like Blackbaud CRM or Banner
