Job Description
The College of Liberal Arts and Human Sciences is seeking a Study Abroad Coordinator to provide college-wide support for our extensive and growing programs. The Study Abroad Coordinator will facilitate and expand development of, and participation in, the college’s study abroad programs, including logistics, marketing strategies, and collaboration with departments on program financial management. The ideal candidate will have strong organizational skills, a passion for international education, and the ability to work collaboratively with faculty and international partners.
Key Responsibilities
Logistical Duties
- Provide support to departments and faculty leaders on the logistical aspects of study abroad programs, including travel arrangements, accommodation, and visa requirements.
- Serve as the College’s primary point of contact for faculty organizing and delivering study abroad programs.
- Develop and maintain relationships with international partner institutions and organizations.
- Ensure compliance with university policies and international regulation
- Assist the Associate Dean of Global Initiatives and Engagement by
- Regularly providing reports and analyses to strategically plan for growth, development,
and improvements in college faculty-led programs
- Working with faculty program leaders in developing program proposals and program
renewals
- Providing training and support to faculty leaders and department administrators to
encourage the development and effective management of study abroad programs
across the College.
- Work with the Global Education Office in different capacities to support CLAHS programs including, but not limited to, tracking program progress in the approval process and program enrollment.
Marketing Duties
- Develop and implement marketing strategies to promote study abroad programs to students and faculty.
- Create promotional materials, including brochures, social media content, and website updates.
- Organize and participate in informational sessions, fairs, and other events to raise awareness about study abroad opportunities.
- Collaborate with the college’s marketing and communications team to enhance program visibility.
Fiscal Duties
- Provide direct support to CLAHS departments in managing study abroad program budgets and financial tracking, including the development of resources for tracking expenses and ensuring cost-effectiveness.
- Prepare financial reports and projections for program funding and expenditures.
- Identify and apply for grants and other funding opportunities to support study abroad initiatives.
- Collaborate with the University’s Global Education Office to provide financial planning resources for students interested in study abroad programs, including notification of potential scholarship opportunities.
- Assist faculty with vendor payments related to study abroad programs. Provide support for the expense reimbursement process following the completion of the study abroad program travel.
Required Qualifications
- Bachelor’s degree or equivalent experience in International Education, Business Administration, Marketing, or a related field.
- Experience in study abroad program coordination or a similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and familiarity with database management.
- Ability to work independently and as part of a team.
- Knowledge of international travel requirements and regulations.
Preferred Qualifications
- Understanding of VT fiscal systems, such as ChromeRiver, HokieMart, and Banner
- Familiarity with VT study abroad programs and policies
