Job Description

We’re currently searching for an Office Coordinator to perform a wide variety of administrative activities to assist the Vice President of Student Affairs (VPSA) and Chief of Staff. HERE'S WHAT YOU NEED TO KNOW ABOUT THIS ROLE:

YOU’LL BE…
• Reporting directly to the Chief of Staff and seated in the Office of the Vice President for Student Affairs.
• Providing a high level of administrative support to the Office of the Vice President for Student Affairs. Specifically, to two Assistant Vice Presidents on a regular basis, as well as the Vice President for Student Affairs, as needed.
• Practicing excellent customer service, ensuring that the office environment is welcoming and inclusive, and dealing with confidential and sensitive matters with the utmost discretion and tact.
• Serving as backup to the VPSA’s Executive Assistant, as needed.
• Assuming responsibility for managing office communications, including emergency and maintenance matters as well as office functions and gatherings.
• Collaborating with a small team of undergraduate fellows and student employees who serve in reception and administrative support roles.
• Interacting extensively with senior divisional leadership, senior university administration, donors, students, and families. As a result, the Office Coordinator will need to exercise independent judgment and represent the office and the division in a professional and courteous manner.
• Be offered a base compensation package between $45,000-$50,000, along with a comprehensive benefits package that includes health insurance, paid leave, retirement, tuition assistance, VT discounts, and so much more!

Required Qualifications

Prior professional experience:
• As an administrative or executive assistant.
• Facilitating meetings and events along with managing multiple electronic calendars.
• Drafting written correspondence with the ability to communicate in a professional, positive, and office-appropriate manner.
• Managing projects.
• With accounting processes and procedures including knowledge of general accounting principles (i.e. processing invoices, preparing travel vouchers, preparing spreadsheets, and processing reimbursements.)
• Operating computer systems such as Windows and Microsoft Office Suite, with a strong proficiency in word processing, spreadsheet preparation and utilization, database entry/maintenance, retention, and inventory systems.
Demonstrated ability to:
• Work independently with little supervision and operate within a team-based environment.
• Utilize strong organizational skills that include the ability to prioritize tasks, manage time effectively, and perform multiple functions simultaneously.
• Exercise strong communication and interpersonal skills.
• Work in a diverse, multicultural environment.
• Establish and maintain successful and effective relationships with diverse populations.
• Employ a high degree of accuracy and attention to detail.

Preferred Qualifications

Previous experience:
• In a customer service position in an academic setting.
• With university systems like Banner Alumni/Development, Chrome River, Maxient, and HokieMart.
• In Higher Education or nonprofit/philanthropic setting.
