Job Description
The Student and Program Support Specialist plays a crucial role in ensuring the smooth functioning of the office. This position involves handling a variety of administrative duties, supporting the director of undergraduate studies, processing and organizing student forms, and assisting with fiscal tasks. The specialist will be the first point of contact for students and visitors, providing exceptional customer service and managing receptionist duties effectively.
- Receptionist Duties:
- Greet and assist students, faculty, and visitors in a professional manner.
- Answer phone calls, respond to emails, and manage the front desk.
- Schedule appointments and maintain office calendars.
- Provide general information and direction to students and visitors.
- Miscellaneous Routine Duties:
- Perform various administrative tasks as needed.
- Maintain office supplies and manage inventory.
- Organize and maintain office files and records.
- Assist in coordinating events and meetings.
- Process and Organize Student Forms and Data:
- Collect, process, and maintain student forms and records.
- Enter and update student data in the database.
- Ensure confidentiality and accuracy of student information.
- Prepare reports and summaries as required.
- Assist Director of Undergraduate Studies:
- Provide administrative support to the director of undergraduate studies.
- Assist in the preparation of reports, presentations, and correspondence.
- Coordinate meetings and manage the director's schedule.
- Support the director in various projects and initiatives.
- Fiscal Assistant:
- Assist with timekeeping and payroll processing using Banner Time Entry software.
- Process payments and handle cash transactions using CashNet.
- Maintain accurate financial records and documentation.
- Support fiscal activities and budget management.
- High school diploma or equivalent experience required
- Previous administrative or receptionist experience
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
- Detail-oriented and able to work independently
- Associates or Bachelor’s Degree
- Familiarity with Virginia Tech systems such as Banner, Cashnet, HokieMart and Chrome River
- Experience working with students and faculty

The successful candidate will be required to have a criminal conviction check.
