Based on the foundation of the Ted and Karyn Hume Center for National Security and Technology, Virginia Tech launched the Virginia Tech National Security Institute in September 2021. With a presence in Blacksburg and the Washington, D.C., metro area, the institute aspires to be the nation's preeminent academic organization at the nexus of interdisciplinary research, technology, policy, and talent development, the national security institute will advance national security in pursuit of a secure America. VTNSI has its primary operation in Blacksburg, VA with an research office in the Virginia Tech Research Center in Arlington, VA.
We are currently seeking an HR Coordinator for our Blacksburg offices. This position supports the Senior HR Generalist and HR Assistant in day-to-day HR operations, ensuring that HR services are delivered efficiently and effectively. The HR Coordinator is a key point of contact for administrative support and assists with a variety of HR-related tasks. This position interacts closely with the Finance and Operations staff as well as Project and Program Managers.
Responsibilities of this position include, but are not limited to:
• Recruitment Support: Assist with the recruitment process, including posting job ads, scheduling interviews, ensuring stakeholders are prepared, and communicating with candidates.
• Onboarding / Offboarding: Coordinate the onboarding process for new hires, including preparing orientation materials and ensuring a smooth transition. Coordinate the offboarding process ensuring coordinator among stakeholders, new hires and supervisors including knowledge transfer and transition of work, return of equipment, termination of access, exit interviews, final pay and benefits, and documentation.
• Employee Records: Maintain accurate and up-to-date employee records in HRIS (Human Resource Information System).
• Leave Representative: Submit monthly leave report reminder, run monthly leave reports to ensure individual leave actions are submitted and completed timely, monitor leave usage, and provide leave training during onboarding activities.
• Performance Management: Provide process support.
• HR Documentation: Prepare and maintain HR documents such as offer letters, contracts, performance reviews, and disciplinary notices.
• HR Projects: Assist in various HR projects, such as organizing employee events, wellness programs, and internal surveys.
• Training Coordination: Schedule and coordinate training sessions and development programs for supervisors and employees, as needed. Partner with supervisor to schedule, prepare and facilitate a workshop.
This position is located in the Blacksburg, VA facility, and may be eligible for a hybrid work arrangement depending on the business needs and following a successful onboarding and training engagement. Position supports HR initiatives in Blacksburg and Arlington locations; travel to the Arlington location may be required.
Due to the nature of the Institute's work, all candidates must be US citizens.
• Degree or significant related administrative experience in an office setting.
• Experience in a Human Resources setting, with knowledge of recruitment procedures, benefits administration, and/or online HR databases.
• Ability to work in a front-facing position in dealing with employees on a regular basis.
• Ability to work independently
• Highly organized and detail-oriented with the ability to manage multiple priorities within set deadlines.
• Ability to use discretion in working with confidential information.
• Proven computer skills to include knowledge of office software such as word processing, spreadsheet, and presentation applications.
• Experience in administrative and clerical procedures, including managing files and records, designing forms, composing written correspondence, scheduling and calendar keeping.
• Strong customer service philosophy, flexibility, and a commitment to continuous skills improvement
• Excellent communication and interpersonal skills with the ability to work effectively with a diverse clientele and to create and maintain collaborative relationships.
• Ability to project a positive and professional image; establish and maintain collaborative and productive working relationships; maintain confidentiality of sensitive information
• US Citizen
• Experience in staffing or recruitment logistics support.
Starting at $55,000; commensurate with experience

The successful candidate will be required to have a criminal conviction check.
