The Executive Assistant provides executive support to the Vice President of Government & Community Relations, and administrative support to the Directors of Government Relations & Community Relations, the Director of Local Government and Community Relations in the New River Valley, and the Federal Relations Advisor. The position provides administrative support for scheduling, travel, reimbursements, purchasing, monthly fund reconciliation, and for events planned by the Office of Government Relations & Community Relations and frequently interacts with constituents of the university, both internal and external.
Experience providing administrative support to a senior executive in a corporate or higher education office environment. Considerable experience directly supporting complex projects and events. Strong experience in calendar management, including scheduling and coordinating executive meetings with multiple stakeholders. Experience synthesizing, editing, organizing and proofreading large documents from multiple sources. Excellent communication skills. Ability to work in a high-pressure environment while working on multiple tasks and deadlines. Demonstrated proficiency with Microsoft Office Suite (Outlook, PowerPoint, and Excel), Adobe Pro, SharePoint and administration of video conferencing platforms (Zoom and Microsoft Teams). Comfortable driving state cars or vans with visiting dignitaries. Self-motivated with the ability to work independently and with minimal supervision.
Bachelor's degree. Familiarity with VT administrative systems such as Banner, HokieMart, Chrome River, FINTRACS, etc. Familiarity with university fiscal policies and procedures. Recent experience working with federal and state agencies and representatives. Experience working with colleagues located in offices in multiple locations.
Non-Exempt: Eligible for overtime
$60,000 plus commensurate with experience
Must successfully complete a conviction and motor vehicle records check. Must have valid driver's license. Occasional need to flex work schedule - will be required to work some nights and weekends based on scheduled events.
