Job Description

Provides expeditious entry, handling and coordinating of all work orders, estimates and purchasing functions handled through the Facilities Business Service Center. Creates, assigns and routes work orders specifying the appropriate crew, craft and funding source(s). Continually researches the status of all work orders that have been assigned, to ensure that all of the service, maintenance, renovation and emergency requests are handled in a prompt manner. Designate when goods/services are received, so vendor invoices are paid and send billings to customers in a timely manner. Reconcile all project expenses and recoveries. Maintain financial files including required documentation on each project for audit purposes. Run system reports, process journal entries and provide support to financial analyses for supervisors. Work closely with all the managers and trades people in Facilities, and the entire University community to continually promote Facilities as a service organization striving to meet the University's needs

Required Qualifications

- Previous administrative experience in a professional office environment
- Experience in an office setting that includes, organizing, coordinating, scheduling, procurement, and customer relations duties
- Experience with accounts receivables and accounts payables to include billing and reconciliations of accounts
- Experience working with vendors to resolve issues and pay invoices promptly
- Strong computer skills such as word processing, spreadsheet, and database management
- Strong customer relations skills and communication abilities
- Ability to solve billing problems and resolve with customers
- Ability to work under pressure with frequent interruptions
- Must be able to manage time well, respond with a sense of urgency and adapt to changing work needs of the department.

Preferred Qualifications

- Degree/Certification in Business Administration or Accounting and/or experience equivalent to degree
- Training in communications or office management skills
- Experience using a work order system in a higher education environment
- Working knowledge of HokieMart and Banner or similar software
- Familiarity with multiline phone system
- Experience using Microsoft office, enterprise data entry system, billing software and email.
