Job Description

The Office of Sponsored Programs (OSP) is a division of the Office of the Vice President for Research and Innovation at Virginia Tech. OSP provides a comprehensive array of administrative support services to the university to help faculty and staff obtain and manage grants and contracts from external sponsors who provide the funding for the university's research projects. OSP functions as a steward of Virginia Tech's research portfolio and is responsible for ensuring that all research proposals and projects comply with federal and state laws and regulations, the sponsor's policies and terms and conditions and university policies and procedures.

Specifically, this wage position will serve as part of the Sponsored Agreements Team which is responsible for the programmatic, non-financial management of awarded sponsored research projects encompassing project management, contract modifications and closeouts.

The position will be assigned tasks involving the closeout process including:

-Ensures timely award closeout in accordance with the terms of the award and completes closeout steps in internal systems.
-Communicating with principal investigator (PI), department staff, OSP staff and other central office staff.
-Reviewing the award to determine if a revenue refund is required.
-Processing journal entries in the university financial system to remove overdrafts, write off small balances or make indirect cost adjustment entries.
-Reconciling revenue and expenses.
-Monitoring and addressing all closeout issues with the Grants Management/Financial Management Post Associate.
-Completing process for termination of project funds.

The position will use tools such as Virginia Tech’s Banner Finance system, My Journal system, Hokiemart and several in-house systems as well as Microsoft Office Suite (Excel, Outlook, and Word) and Adobe to perform daily tasks.

Required Qualifications

- Demonstrated experience and/or coursework in accounting, auditing, business management, or bookkeeping.
- Demonstrated experience using office software suite such as spreadsheets, calendaring/email, and word processing.
- Strong work ethic, attention to detail, good communication skills, and ability to work both individually and as a team member.

Preferred Qualifications

- Demonstrated experience with federal and non-federal grants and/or contract regulations.
- Project management and/or billing and reporting experience.
- Knowledge of accounting practices and procedures.
- Associate's degree or equivalent relevant work experience may be considered in lieu of a degree.

Additional Information

Position is hybrid with a weekly on-campus presence (3 days per week), and will require the completion of a telework agreement in accordance with Policy 4325, Alternative Work Site and Telework Policy. The hybrid work schedule will be confirmed following an onsite training period.

The successful candidate will be required to have a criminal conviction check.
