Reporting to the Holtzman Alumni Center’s Facilities Manager, the coordinator serves as the primary point of contact for donors, alumni, and visitors at the Holtzman Alumni Center. This position plays a vital role in delivering exceptional front-line service and operational support. Key responsibilities include greeting guests, fielding phone and email inquiries, and ensuring a welcoming and informed experience for all.
In addition to front office coordination, the position supports facility operations by assisting with room reservations, maintaining procedures and policies, and helping coordinate multiple events hosted at the Alumni Center. The role also collaborates closely with Advancement and university partners to ensure seamless logistics and consistent alumni engagement.
The coordinator is responsible for updating alumni records, processing inquiries, and maintaining accurate data to support stewardship and engagement efforts. Additionally, this position contributes to process improvements and serves as a key resource in maintaining operational excellence.
Demonstrated experience in customer service or front-desk support within professional or academic settings.
Demonstrated experience working with confidential information.
Proficiency in Microsoft Office Suite, Outlook, and general office software.
Familiarity with standard office operations, including equipment use and handling mail and documents.
Demonstrated ability to support scheduling, event coordination, and related logistics.
Proven ability to communicate effectively and interact professionally with individuals at all organizational levels, as well as with diverse alumni, students, and guests of the center.
Demonstrated ability to manage multiple tasks effectively with strong attention to detail and organizational skills.
Demonstrated experience in a university or comparable professional environment.
Experience providing comprehensive administrative support in a multitasking office setting.
Experience working with large relational databases.
Demonstrated experience supporting event coordination, including assistance with planning, logistics, and setup.
Non-Exempt: Eligible for overtime
