Reporting to the Assistant Director of Finance and Administration, the Fiscal and Facilities Coordinator will assist the Department in three key areas: 1). Performing fiscal and administrative duties, 2). Helping to manage the Department’s portfolio of fixed assets equipment located in multiple locations, and lastly 3). Work with internal and external groups to maintain Departmental facilities in a working and professional manner.
The Fiscal and Facilities Coordinator will assist the Department with critical fiscal responsibilities including ordering supplies and equipment in Virginia Tech’s ordering system, Hokiemart; assisting faculty, students, and staff with travel logistics, arrangements and reimbursements, and assisting outstanding payment and vendor issues. This position will also play a critical role in assisting the Department in maintaining a current and updated list of fixed assets equipment for the Department ensuring items are entered into the VT database, changes, additions, surpluses, and transfers from the Department’s Fixed Asset list made in a timely basis. This position will also assist the Department in conducting periodic audits, ensuring that equipment is maintained and repaired, and certifications for equipment are gained within all proper timeframes. Lastly, this position will also assist the Department in maintaining the facilities of BME by responding to requests for facilities services and initiating and following up on work orders for service or repairs, assisting with management of key control and key card access for BME occupied buildings, offices, and spaces, assisting the Department with administrative and logistical efforts for BME renovations, and assisting with Departmental safety training, planning, safety committees, and Emergency Action Plan (EAP)/Continuity of Operation Plan (COOP) preparation.
Previous experience performing fiscal and administrative duties in a professional setting including purchasing, travel and logistical arrangements and reimbursements. Previous experience working with large enterprise database systems involving financial information. Demonstrated proficiency with Microsoft Office (Excel, Word, and Outlook). Ability to communicate effectively and tactfully in writing and verbally with diverse constituencies both internally and externally.
Bachelor's degree. Previous higher education and experience. Experience with Banner, Hokiemart, MicroStrategy, Chrome River, and the VT Fixed Assets system/Banner module. Familiarity with VT policies and procedures.
Non-Exempt: Eligible for overtime
The successful candidate will be required to have a criminal conviction check.
