Job Description

The Administrative Assistant will provide support to both the Director of the Boeing Center for Veteran Transition and Military Families and the Director of K-20 Technical Education and Workforce Development Programs, ensuring the smooth operation of scheduling, purchasing, communications, special events, travel, and other administrative tasks as needed. This role requires a highly organized and proactive individual with excellent communication skills and the ability to manage multiple priorities including:

- Special Events Coordination: Assist in planning, organizing, and executing special events, including logistics, vendor coordination, coordination with marketing and communication (e.g., tracking of RSVP and invite lists), and on-site support.

- Scheduling: Assist with scheduling meetings, preparing materials, and coordinating appointments.

- Purchasing: Handle procurement of office supplies and other necessary items, ensuring timely and cost-effective purchases.

- Communications: Draft, edit, and distribute internal and external communications, including emails, memos, and reports.

- Administrative Support: Provide general administrative assistance, including filing, data entry, reimbursement preparation, and document management.

- Arranging travel details, approvals, and reimbursements.

- Other Duties: Perform additional tasks as assigned to support the overall efficiency of the office.

Required Qualifications

- Experience with administrative support duties in a multifaceted office environment with many collaborators, performing tasks such as: calendaring, preparing documents, data entry, appointment and event management, ordering supplies, and scheduling travel.

- Ability to identify, interpret, analyze, and apply established policies and procedures to purchasing, travel and inventory processes.

- Demonstrated customer service skills.

- Demonstrated ability to work seamlessly with team members and independently on assigned tasks.

- Demonstrated computer proficiency with Microsoft Outlook (Excel and Power Point, preferred).

- Dependable, organized, detailed-oriented, and able to multi-task in a fast-paced environment.

- Excellent time management skills.

Preferred Qualifications

- Experience providing support in a higher education, governmental or non-profit context.

- Experience supporting military families, service members, or military‑connected organizations

- Understanding and knowledge of military culture

- Knowledge and experience of Virginia Tech policies and procedures.

- Proficiency with other tools used by collaborators including Google Drive, and shared calendars, and mobile apps.
