Job Description

The Kevin T. Crofton Department of Aerospace and Ocean Engineering is seeking a motivated, detail-oriented, and team-oriented Fiscal and Grants Coordinator to provide comprehensive administrative and financial support to faculty, staff, students, and visitors. This position manages all aspects of departmental travel, including coordinating flights, conference registrations, fleet services, and lodging, as well as processing travel reimbursements in accordance with university policies. The Fiscal and Grants Coordinator also oversees departmental start-up and endowed professorship funds, providing regular financial updates and ensuring responsible fund management.
In addition, the position supports post-award financial administration for all active research grants, including reviewing financial statements, monitoring award status, coordinating extensions and rebudgets, resolving overdrafts, projecting expenditures, and assisting with grant closeout processes. The ideal candidate is professional, organized, and self-directed, with strong communication, financial management, and customer service skills, and the ability to work effectively in a collaborative academic environment.

Required Qualifications

-Associate's degree in accounting, business administration, finance, or a related field, or an equivalent combination of education, training, and relevant experience.
-Work history showing experience performing fiscal, accounting, bookkeeping, procurement, travel, or financial support functions.
-Experience processing financial transactions while ensuring compliance with established policies and procedures.
-Experience using financial management or enterprise resource planning (ERP) systems.
-Experience using Microsoft Office applications, with intermediate proficiency in Microsoft Excel.
-Experience maintaining financial records and preparing reports with a high degree of accuracy.

Preferred Qualifications

-Bachelor's degree in accounting, finance, business administration, or a related field.
-Experience working in higher education, state government, or another public-sector environment.
-Experience with Virginia Tech financial systems, including Banner Finance, HokieMart, Chrome River, the Virginia Tech Foundation, and SharePoint.
-History of working with university and Commonwealth of Virginia procurement, travel, and fiscal policies.
-Experience reconciling accounts, monitoring budgets, and processing a variety of financial transactions.
-Completion of the Virginia Tech Fiscal Training Program or comparable fiscal or accounting training
