The Executive Administrative Assistant provides high-level administrative and executive support to the Vice President for Health Sciences and Technology and the Executive Director of the Fralin Biomedical Research Institute (FBRI). Reporting to the Executive Office Operations Director, this position serves as a trusted partner in managing executive priorities, facilitating effective communication, coordinating the complex schedule of the Executive Director, and ensuring the smooth operation of the executive office.
The Executive Administrative Assistant operates in a fast-paced and highly visible environment requiring exceptional organizational skills, sound judgment, discretion, and professionalism. The role requires frequent interaction with senior university leaders, faculty, staff, external partners, donors, government officials, and visitors while maintaining strict confidentiality and attention to detail.
This position is designed to support both immediate contributions and long-term career growth through expanding responsibilities and continuous learning opportunities.
• Significant experience providing executive-level administrative support to senior leaders, executives, or administrators.
•Demonstrated experience managing complex calendars, scheduling priorities, and executive meetings.
• Experience working effectively in a demanding, fast-paced environment.
• Possesses a high level of organization and time management skills, with the ability to manage time sensitive and competing priorities.
• Excellent communication and interpersonal skills, with strong attention to grammatical accuracy and precision in written and oral communications, and the ability to interact respectfully with all individuals.
• Demonstrated project coordination and administrative project management experience.
• Proven ability to cultivate positive working relationships, foster a team-based approach, and gain the trust and respect of all levels of internal and external constituencies.
• Demonstrated ability to work with sensitive and confidential matters and perform duties with a high level of professionalism, confidentiality, flexibility, discretion, judgment, diplomacy, and tact.
• Experience using Microsoft Office Suite; proficiency using Outlook scheduling and mail tools.
• Demonstrated program or project management skills and/or experience.
• Degree or specialized training and significant experience equivalent to a
degree.
• Prior work experience in a higher education and/or research environment.
Non-Exempt: Eligible for overtime
Starting at $55,000. Commensurate with experience.
The successful candidate will be required to have a criminal conviction check.
