The Research Center Coordinator will work under the direction of Dr. Zhen Yan, Director for the Center for Exercise Medicine at the Fralin Biomedical Research Institute. The incumbent will maintain a working knowledge of stakeholders, collaborators, and research objectives in order to schedule and organize meetings, prepare regulatory submissions to be submitted to internal and/or commercial IRBs and federal agencies, assist in purchasing and reimbursement requests, and generate travel and meeting itineraries for members of the team and guests. Experience in site monitoring and business operations is preferred.

Further, the incumbent will:
• Receive and manage calendar and meeting requests, using communication and organizational skills to facilitate calendars, including with senior VT and other personnel (Deans and VPs).
• Coordinate logistics for scheduled meetings.
• Require a high degree of confidentiality, flexibility, and collaboration across a matrixed organization.
• Coordinate and book domestic and international travel arrangements for members of the team.
• Maintain supply inventories and process financial reimbursements.
• Screen and manage correspondence, inquiries, and reports by routing to relevant staff members in an accurate and timely manner.
• Maintain working relationships with departments throughout the Institute and main campus, including Admin, Human Resources, Finance and Facilities in order to accomplish tasks.
• Perform other administrative duties as assigned.
• Experience providing administrative support to senior administrator/executive with calendaring, complex scheduling and supporting meetings.
• Excellent communication grammatical skills and care to precision for written and oral communications.
• Experience working in a demanding, fast-paced environment. Possesses a high level of organization and time management skills to manage time sensitive and competing priorities.
• Must have excellent interpersonal, organizational, and communication skills, and the ability to interact respectfully with all individuals.
• Proven ability to cultivate positive working relationships, build and maintain a team-based approach, and gain the trust and respect of all levels of internal and external constituencies.
• Demonstrated ability to work with sensitive and confidential matters and perform duties with a high level of professionalism, confidentiality, flexibility, discretion, judgment, diplomacy, and tact.
• Demonstrated knowledge and experience with standard business office equipment and commonly used software and tools, such as Microsoft Office, Outlook mail, search engines, and schedulers.
• Proficient in EndNote and maintaining PIs EndNote reference database. Demonstrated program or project management skills and/or experience.
