Job Description

The Associate Director, Executive Operations (Executive Assistant and Project Coordinator, Hokie Club) is responsible for providing comprehensive operational and administrative support to the Hokie Club and serves as a key operational partner to the Executive Associate Athletic Director & Executive Director, Hokie Club. This position reports to and assists the Executive Associate Athletic Director & Executive Director, Hokie Club in the management of daily office functions and coordinates activities with Hokie Club staff, Advancement staff, and leadership. The position independently manages and coordinates executive priorities, information, and projects, exercising sound judgment and discretion in a fast-paced and highly confidential environment. Acting as a key coordinator of cross-functional initiatives involving Athletics, Advancement, donors, Board members, and university leadership, the position supports the successful execution of organizational priorities. Core duties include supporting the operations and activities of the Hokie Club Board of Directors, managing travel and event schedules, and assisting with coordinating departmental budgeting processes. The incumbent also collaborates on projects and initiatives for the Annual Fund and Major Gift teams to ensure efficient operations and alignment with organizational goals.

Required Qualifications

Demonstrated significant high-level administrative experience supporting senior and/or executive level individuals within a fast-paced, self-directed, and demanding environment.

Proven experience in a customer service/customer interaction type of environment.

Demonstrated advanced computer skills and demonstrated proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.

Demonstrated experience coordinating domestic travel arrangements.

Proven ability to cultivate positive working relationships and gain the trust and respect of all levels of internal and external constituencies.

Excellent communication skills.

Ability to manage multiple projects at one time and independently establish priorities and meet deadlines.

Demonstrated ability to exercise a high level of professionalism, discretion, judgment, diplomacy, and tact when handling confidential and sensitive matters.

Demonstrated ability to anticipate executive needs, independently resolve routine operational issues, and coordinate complex activities involving multiple stakeholders.

Preferred Qualifications

Bachelor’s degree in business administration or related field.

Past experience in an intercollegiate athletics department.

Past experience working with data entry/processing software such as, or similar to Blackbaud, Paciolan, HokieMart, SalesForce.

Demonstrated experience supporting projects involving multiple priorities, deadlines, and internal and external constituencies.

Experience with budget monitoring, forecasting, reporting, and reconciliation.
