The Administrative Assistant in the Division of Information Technology provides vital administrative support to the Vice President for Information Technology and CIO, as well as other designated leaders. Reporting to the Executive Assistant, this role is essential for enhancing the operational efficiency of the division through effective management of schedules, communications, and documentation.
Key responsibilities include managing calendars, scheduling meetings, assisting with the procurement of office supplies, entering food approvals for business meals, and processing travel preapprovals and reimbursements. The Administrative Assistant will also maintain and organize office files and records, serving as a backup for the Executive Assistant to ensure seamless support.
This position requires strong organizational skills, meticulous attention to detail, and the ability to prioritize tasks effectively in a dynamic team environment. The Administrative Assistant will manage a variety of tasks, including preparing documents, organizing meetings, and supporting IT projects, all while maintaining a professional and positive image of the division in all interactions.
Ideal candidates will be detail-oriented, capable of working independently and collaboratively, and possess excellent communication skills to foster a supportive and efficient workplace.
- High school diploma or equivalent.
- Demonstrated administrative experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Excellent organizational and time management abilities.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Professional demeanor with strong interpersonal skills.
- Ability to work both independently and as part of a team.
- Associate’s degree or higher in business administration or related field.
- Experience supporting senior-level executives or leadership teams.
- Experience in event planning and coordination.
- Demonstrated ability to work in a fast-paced environment with changing priorities.
- Working knowledge of the University's policies and procedures.
