Seymour Whyte is inviting expressions of interest from Site, Project, and HSEQ Administrators for a potential major civil project in Brisbane’s northern suburbs.

 If successful, the project will run for approximately 18 months, finishing in the back end of 2026. We are looking for driven individuals who are passionate about delivering high-quality results and enjoy working as part of a dynamic team.

Roles Available:

  • Site Administrator (x1)
  • HSEQ Administrator (x1)
  • Project Administrator (x1)

Key Responsibilities:

Site Administrator:

  • Provide administrative support to the project team.
  • Manage reception and connect clients, staff, suppliers, and contractors.
  • Enter data for delivery dockets, orders, and invoices.
  • Understand subcontracted and self-performed activities and payment terms.
  • Handle mail, filing, and minute-taking.
  • Maintain site registers and documents.
  • Assist with coordinating site meetings and events.
  • Support site travel, accommodation, and relocation arrangements.

Safety Administrator:

  • Perform daily HSEQ administration tasks, including data entry, scanning, and filing.
  • Collate safety data, generate and compile safety-related reports.
  • Support the project team in managing and mitigating safety risks and impacts on-site.
  • Promote a positive safety culture by leading by example and advocating best practice safety standards.
  • Maintain safety documentation and manage reporting tools to ensure compliance with Work Health and Safety (WHS) requirements.

Project Administrator:

  • Provide general administrative and commercial support to the project team.
  • Enter data for delivery dockets, purchase orders, subcontractor details, and invoices.
  • Assist with procurement for site activities.
  • Maintain accurate register for vehicles, plant, and equipment.
  • Support the management of progress claims and subcontract payment schedules, including preparing certificates.

Key Selection Criteria:

  • Experience in site/project/safety administration within the civil construction industry.
  • Strong organisational and multitasking skills, with the ability to meet deadlines and prioritise tasks effectively.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and other relevant software.
  • Familiarity with HSEQ standards, procedures, and safety management systems (for the Safety Admin role).
  • Strong communication skills, both written and verbal, and the ability to work collaboratively within a team.
  • Ability to manage and maintain registers for vehicles, plant, and equipment.
  • Experience in job costing, invoicing, and purchasing processes (for Site and Project Administration roles).
