Job Summary/Basic Function:

This position has administrative responsibility for coordination of complex academic program elements requiring collaboration with students, faculty, and other departments and programs.

Department Overview:

The Departments of Communication and Media at Boise State University operate under a Shared Services model and report to the College of Arts and Sciences, the largest college at the university. These departments are dedicated to preparing students for meaningful careers through innovative education, research, and hands-on experiences.

The Department of Communication examines communication as a meaning-making process that shapes identities, relationships, and society, offering a curriculum that explores relational, political, and social issues. Complementing this, the Department of Media emphasizes a pre-professional approach with a strong analytical foundation, blending theory and practice through experiential learning. Together, these departments provide a comprehensive educational experience, empowering students to succeed in a range of professional fields while making a positive impact on their communities and industries.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

● Provides administrative support
● Facilitates the delivery of required program services.
● Maintain students files/records.
● Analyzes data, generates and/or assists with, and disseminates periodic reports (monthly and semester).
● May provide support to student groups.
● May oversee the work of less experienced employees or students.
● May independently manage specific program activities.
● Planning and executing assigned projects and operations within the specified department
Miscellaneous Operations:
● Manage admin email and both department owned emails. Pull reports as needed for faculty related to student clubs and graduation.
● Manage standard admin duty including stocking water and vending supplies, maintenance of clocks, etc. Process requests for building space relocation, as well as purchases and relocation of furniture and equipment.

Event Coordination/Management:
● Provide administrative and logistical support for events across both departments.
● Marketing and Promotion: Coordinate with UTP, Blue House, and department Chairs for social media and promotional materials (both internal and external).
● Website Administration - Primary site administrator for all department-owned wordpress sites
● Course Scheduling - Provides course scheduling to both departments in accordance with university timelines and college scheduling practices with G-suite, PeopleSoft and forms.
● Manage office assistant team and provide training, run bi-weekly meetings and assist with hiring as delegated by the Business Operations Manager.

Building Coordinator:
● Sends notices to building occupants of campus-related activities that may impact the building, including scheduled cleanings, construction, etc.
● Manage access for external locks with Access Control, and internal lock access using the Trilogy system.
● Annual fixed asset inventory with the Fixed Asset and Inventory Control Department.

Perform other duties as assigned.

Knowledge, Skills, Abilities:

● Ability to work independently and use reference manuals to develop proficiency with software or computer systems.
● Good organizational, written and verbal communication skills in the preparation and presentation of results.
● Good interpersonal skills
● Able to effectively prioritize and work on multiple tasks with concurrent deadlines and demonstrate excellent time management skills and efficiency.

Minimum Qualifications:

Bachelor’s Degree and 2 years of professional experience or equivalent relevant experience.

Salary and Benefits:
