Job Summary/Basic Function:

The Graduate Studies team within the College of Business and Economics is enthusiastically seeking candidates to join our team as an MBA Programs Advisor and Admissions Manager to support our five distinct MBA programs with over 450 active students enrolled.

The primary role of this position is to manage the admissions process for our MBA programs and to advise students in the Online and Professional MBA Programs. This advisor provides individual support from admission to graduation. Successful candidates have a passion for business, education and exceptional service.

This position is eligible for hybrid work and will be required to come into the office at least one day per week and as needed for events or in-person meetings.

Level Scope:

Recognized subject matter expert who knows how to apply theory and put it into practice with in-depth understanding of the professional field with limited oversight from managers. Independently performs the full range of responsibilities within the function; requires deep job knowledge of area typically obtained through higher education combined with experience. Manages large projects or processes and problems faced are difficult and often complex; analyzes problems/issues of diverse scope and determines solutions. May manage programs that include formulating strategies and administering policies, processes, and resources; functions with a high degree of autonomy. Influences others regarding policies, practices and procedures.

Essential Functions:

Reporting to the Director of the Online and Professional MBA Programs, this position will have the opportunity to make an impact in a variety of areas:

1.) Student Success (35%)

  • Serve as academic advisor for Online MBA (OMBA) students. Primary contact to assist students with course planning, degree completion, registration, adding/dropping classes, course issues, university forms/documents and other general questions.
  • Advise students on basic financial aid/payment options and procedures.
  • Coach students as they identify career goals, develop leadership skills and plan career changes.
  • Communicate effectively, proactively and consistently with students via email, phone, and in-person interactions.
  • Create and revise communications, including emails, informational materials, resources, handbooks, webpages, and Orientation course content to provide relevant, timely information to students.
  • Create and maintain positive, collaborative relationships with internal and external partners to enhance student success and program quality.
  • Maintain accurate records of student advising notes and information. Assist with the implementation of a Customer Relationship Management system for student tracking improvement.
  • Propose, implement, manage and assess a student retention plan for MBA students.
  • Manage MBA student/alumni communications via websites and quarterly newsletters.
  • Lead graduation processes for OMBA and PMBA students, including data tracking and Admission to Candidacy approvals.
  • Manage a Project Coordinator who conducts proactive outreach to students regarding retention, advising, enrollment and course activity.
  • Handle student issues and serve as liaison between students and faculty as needed.
  • Oversee alumni engagement, communications, and other networking events.
  • Lead scholarship awarding processes.

2.) Student Recruitment and Admissions (35%)

  • Respond promptly and accurately to inquiries from prospective MBA students and provide counsel via email, via phone, and in person regarding eligibility and program fit.
  • Assist MBA applicants through the admissions process.
  • Receive, track, process, and maintain all applicant files for the Online and Professional MBA Programs with assistance from an Administrative Assistant and the Online MBA Extended Studies recruiting team.
  • For OMBA and PMBA, make preliminary recommendations and propose admissions decisions to the OMBA/PMBA Directors.
  • Manage all manual and automated post-acceptance communication to admitted students.
  • Serve as program expert to answer detailed questions related to the MBA programs, processes and outcomes. Know about all MBA programs to direct students to the correct program and contact.
  • Oversee recruiting events, data analysis, communications and campaigns to recruit prospective students.
  • Manage the Slate admissions system, Slate CRM and Perceptive Content workflows for admission and advising purposes.
  • Organize and direct OMBA advisors on necessary advising activities, including probation/dismissal notification, non-enrolled call campaigns, and inactive student audits.
  • Lead marketing efforts for the PMBA program, including student testimonials, content creation, social media, website management and sponsorships. Manage an editorial calendar for both PMBA and OMBA to ensure a regular cadence of content creation and communication.
  • Serve as primary contact for the OMBA Student Success Team on day-to-day questions regarding student qualifications or policy interpretations. Optimize and streamline the admissions processes to increase efficiency for the OMBA team and decrease student barriers to entry.

3.) Program Operations (20%)

  • Assist with the course review and improvement system for the Online MBA program.
  • Assist with accreditation and program review processes.
  • Gather and maintain accurate program data. Complete reports and distribute summaries as directed and as needed.
  • With administrative assistant support, oversee all event planning for graduation celebrations, recruiting events, alumni engagement events and more.

4.) Other Projects as Proposed / Assigned (10%)

  • Work closely with program Directors to identify other priority areas to encourage growth and improved quality for MBA students, faculty and programs.
  • Work independently and within a team to work on new initiatives and program improvements.
  • Assist Program Directors with new programs, certificates and/or concentrations or projects.
  • Perform other duties as assigned.

Minimum Qualifications:

Bachelor’s or Advanced Degree and 5 years of professional experience or equivalent relevant experience.

Preferred Qualifications:

  • Master's degree in Business Administration from an accredited college or university.
  • Minimum of two (2) years managerial experience managing people, budgets or customer accounts.
  • Experience with a Customer Relationship Management (CRM) database.
  • Experience in a higher education setting or familiarity with graduate-level education.

Salary and Benefits:
