This is an internal opportunity open only to current, regular employees of Boise State University.
The purpose of this position is to supervise and coordinate the day-to-day operations of undergraduate admissions processing at Boise State University. This position is responsible for ensuring timely and accurate processing of applications, supporting documentation, admission decisions, and refunds. The Admissions Processing Supervisor leads a remote team of full-time staff and oversees workflow and quality assurance to ensure compliance with university policies and established procedures. The position contributes to a smooth and efficient admissions experience for prospective students by maintaining high standards of accuracy, customer service, and operational efficiency. This is a fully remote position; however, the successful candidate must reside in the Boise, Idaho metropolitan area by their start date and be available for occasional in-person meetings on campus.

Department Overview: |
As the Processing Supervisor, you’ll be an essential member of the Admissions and New Student Programs team at Boise State University. Our department supports students from first contact through enrollment and is made up of three core areas: New Student Programs, Recruitment and Campus Visits, and Operations and Systems—where this position resides.
The Operations and Systems team includes customer service, processing (which this position supervises), systems support, and our Slate CRM team. Together, we ensure that every student’s journey through the admissions process is efficient, accurate, and student-centered.

Level Scope: |
Provides immediate supervision to a unit or group of operational or technical employees. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or campus policies, procedures, and defined internal controls. Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Essential Functions: |
30% of Time the Admissions Processing Supervisor must:
Coordinate Processing of Applications, Documents, and Refunds
- Coordinate the accurate and timely processing of applications, documents, decisions, and refunds.
- Prioritize workloads, assign tasks, and monitor work quality for completeness, content accuracy, and compliance with Boise State and State of Idaho policies.
- Interpret and apply admissions policies; communicate requirements clearly to students, staff, and external partners.
- Use data to guide workload distribution, support decision-making, and maintain processing integrity.
- Contribute to process improvement, system enhancements, and documentation updates; serve as a knowledgeable resource on admissions operations.
30% of Time the Admissions Processing Supervisor must perform:
Supervision
- Supervise a remote team of full-time staff and student employees, ensuring accurate and timely processing operations.
- Interview, hire, train, motivate, and direct processing staff by developing expectations, objectives, and counseling team members.
- Handle employee performance issues and resolve employee conflicts; determine training needs and recommend training programs.
- Assign and monitor work for quality and compliance; address performance issues and resolve conflicts as needed.
- Serve as a subject matter expert and liaison between staff and leadership; recommend and implement process improvements.
35% of Time the Admissions Processing Supervisor must:
Process Admissions Applications and Documents
- Review applications and transcripts for completeness, authenticity, and alignment with admission standards.
- Make accurate and timely admission decisions within established guidelines; refer exceptions to leadership.
- Enter, verify, and audit applicant data in multiple systems to ensure integrity and consistency.
- Communicate admission decisions and next steps clearly to students, families (as permitted by FERPA), and internal stakeholders.
- Maintain strong communication with Admissions Counselors and campus departments to support seamless processing workflows.
- Support a welcoming and fair experience for students by providing clear, culturally competent service.
5% of Time the Admissions Processing Supervisor must:
- Perform other duties as assigned.

Knowledge, Skills, Abilities: |
- Experience: supervising staff; performing secretarial functions; supervising staff in a cash-handling environment.
- Experience independently solving problems/performing liaison activities to deal with individuals or resolve conflicts in a work setting.

Minimum Qualifications: |
Good knowledge of: office support functions.
Some knowledge of: supervisory practices.
Experience: interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities to deal with individuals or resolve conflicts in a work setting.

Preferred Qualifications:
|
- Two or more years of experience in college or university admissions, enrollment services, or student records.
- Familiarity with workflow management and database processes, particularly with student information systems (e.g., PeopleSoft, Banner) and CRM platforms (e.g., Technolutions Slate, Salesforce).
- Demonstrated ability to communicate clearly and professionally with audiences from a variety of backgrounds, both in writing and verbally.
- Two or more years of experience in high-volume data or document processing, such as reviewing applications, transcripts, or similar records, with an emphasis on accuracy, consistency, and meeting deadlines.
- Experience using spreadsheets and data tools to manage workflows, track productivity, and support operational improvements.
