Job Summary/Basic Function:

This position will have overall responsibility for the administration, operation and security of all department technical equipment, including servers, desktops, laptops, mobile devices and printers, editing system and video services technical equipment and staff.

This position is open to current, regular Boise State University employees only.

Department Overview:

The Department of Student Communications and Marketing, within the Division of Student Affairs and Enrollment Management, is dedicated to fostering a vibrant and informed campus community by serving as the central hub for all official communications directed at prospective and current students. Our mission is to effectively engage, inform, and inspire students throughout their academic journey, from prospective applicants to proud alumni. We achieve this by crafting compelling narratives, developing innovative marketing strategies, and providing essential resources that enhance the student experience and support the university's strategic goals.

Level Scope:

Provides direct supervision typically to professionals or skilled technical employees at the entry or intermediate level. Functions as advisor to unit and administration and sets goals and objectives for team members for achievement of operational results. Analyzes and resolves problems through drawing from prior experiences. Interprets policies (e.g., fiscal management, HR, contracts and grants, resource management in defined areas) and demonstrates solid subject matter knowledge. Exercises judgment within defined procedures and policies to determine appropriate action. Supervises staff to assure accountability and stewardship of campus resources (operational, financial and human) in compliance with departmental goals and objectives.

Essential Functions:

60% of Time the Marketing Systems Manager must:

  • Strategic Vision & Roadmap:
    • Develop and maintain a strategic roadmap for the marketing technology stack, aligning with overall department and divisional objectives and marketing goals.
    • Identify, evaluate, and recommend new marketing technologies and system enhancements to improve marketing performance, efficiency, and data quality.
    • Stay abreast of industry trends, best practices, and emerging technologies in the marketing tech landscape.
  • System Administration & Optimization:
    • Oversee the day-to-day administration, configuration, and maintenance of core marketing systems (Slate, Salesforce, etc.).
    • Ensure data integrity, consistency, and cleanliness across all integrated platforms.
    • Proactively identify and troubleshoot system issues, working with vendors and internal teams to resolve them efficiently.
    • Manage marketing user access, roles, and permissions within marketing systems.
  • Integration & Data Flow:
    • Design, implement, and manage integrations between various marketing systems and other enterprise platforms (e.g., Peoplesoft, Salesforce, Slate).
    • Ensure seamless data flow and accurate synchronization between systems to support reporting, segmentation, and personalized customer journeys.
    • Enforce data governance policies and procedures.
  • Process Improvement & Automation:
    • Identify opportunities to streamline marketing processes through automation and system optimization.
    • Develop and implement standardized workflows, naming conventions, and best practices for system usage.
    • Collaborate with Admissions, Recruitment, and Academic teams to understand their operational needs and translate them into scalable system solutions.
  • Reporting & Analytics:
    • Work with Marketing Analytics and OIT teams to ensure marketing systems are configured to capture necessary data for robust reporting and performance measurement.
    • Contribute to the development of dashboards and reports that provide actionable insights into marketing campaign effectiveness and system performance.
  • Cross-Functional Collaboration:
    • Partner closely with Recruitment, Admissions, OIT, and other divisional and non-divisional departments to ensure alignment on system requirements, data sharing, and overall business processes.
    • Act as a subject matter expert and trusted advisor to marketing leadership on marketing tech capabilities and limitations

35% of Time the Marketing Systems Manager must:

  • Vendor Management:
    • Manage relationships with marketing technology vendors, including contract negotiations, renewals, and ongoing support.
  • Team Leadership & Development:
    • Hire, train, direct, mentor, and motivate staff in daily work and on projects, and complete annual evaluations. Ensure ongoing training and cross-training, development, and growth of staff by providing learning opportunities
    • Mentor and manage a team of Marketing Systems Specialists and associates.
    • Foster a culture of continuous learning and improvement within the team.

5% of Time the Marketing Systems Manager must perform other duties as assigned. 

Knowledge, Skills, Abilities:
  • Knowledge of and ability to utilize CRM systems
  • Knowledge and understanding of relational database systems and SQL tools
  • Experience with the following software applications: Google Suite, MS Excel, MS Word, MS
    Access, MS Visio, MS Project, Snagit and XML Publisher.
  • Experience as a system analyst.
  • Excellent problem-solving skills with the ability to anticipate and provide solutions that
    result in gained efficiencies, improved customer service and more efficient business
    processes.
  • Detail oriented and demonstrates the ability to take ownership and complete assigned tasks.
  • Excellent communication (oral and written), interpersonal, organization and time
    management skills
  • Ability to maintain a professional attitude amidst difficult and stressful times and
    demonstrate a sense of ethics while performing daily tasks.
  • Ability to determine appropriate actions in relation to supervision, mentoring, providing
    growth opportunities and staff accountability.
  • Ability to determine when to consult a technical resource, a peer analyst resource, or a
    functional lead from the end-user group.
  • Knowledge of or experience in a higher education or government organization working with
    CRM systems.
Minimum Qualifications:

Bachelor’s or Advanced Degree and 5 years of professional experience or equivalent relevant experience.

Preferred Qualifications:

  • 8 or more years relevant experience in a higher education or public sector setting
  • Demonstrated ability to contribute to marketing teams that directly increase undergraduate enrollment in a higher education setting
  • Demonstrated ability to implement strategic recruitment campaigns tailored to prospective students’ stages in the admissions process, employing customizations and digital touchpoints to foster continued engagement
  • Experience managing and delivering a high volume of marketing emails on behalf of a large, public university using Slate CRM
  • Experience managing and maintaining university or departmental websites, with a focus on enhancing usability, accessibility, and student engagement
Salary and Benefits:
