Job Summary/Basic Function:

This position manages day-to-day activities to ensure gifts are processed accurately, efficiently, and in a timely manner. Assists with the management/administrative aspects, including operational control, of a range of projects. May work on assignments related to gifts and records management initiatives, internal operating procedures, business processes and policies.

Department Overview:

A nonprofit Idaho organization, the Boise State University Foundation was established in 1964 for the benefit of Boise State University. We work to build relationships and support for the university by developing and nurturing donor-centered relationships and stewarding gifts made in support of Boise State. The Foundation works closely with university leadership, the Boise State University Alumni Association, and the Bronco Athletic Association.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self-development. Requires theoretical knowledge through specific education and training.

Essential Functions:

  • Entering, recording and receipting all gifts (cash, check, credit card, EFT/ACH, stock, gift-in-kind, and any other gift/transactions, and bank deposits) made to the Foundation with the expectation of committing all gifts within 1-3 business days of receipt.
  • Enter, record and receipt all gifts received through other University affiliates as directed.
  • Enter, record and receipt all payroll gifts.
    • Collaborate with Annual Giving or other teams on strategy to handle special gift drives.
  • Preparing and providing the information needed for all acknowledgements and tribute letters to the stewardship team with the expectation of delivering them to donors within 2-5 business days of the receipt of the gift.
  • Answering and assisting all donors and prospects that call into the primary Boise State Foundation phone line seeking to make a gift or with inquiries of an existing pledge.
  • Reviewing, entering and recording all pledges made to the Foundation.
  • Review and prepare pledge reminders to be mailed out (electronically or physically).
  • Collaborate with the Stewardship team on membership renewal letters, updating gift receipts and other donor facing mail pieces.
  • Review and process pledge write-offs.
  • Ensure team member(s) are aware and trained on any tasks during absence.
  • Maintain and update database records as directed.
  • Assist in improving, creating or sunsetting existing processes and procedures to increase the accuracy and integrity of biographic and gift information.
  • Monitor daily business process controls designed to safeguard the integrity of biographic and gift-related data.
  • Perform occasional process audits and provide reports and metrics to ensure data processing standards are maintained.
  • Stay current on industry technology, data management practices related to gifts processing and constituent records.
  • Perform other duties as assigned.

Knowledge, Skills, Abilities:

  • Proficiency in Google Workspace, Microsoft Office Suite, including letter formats, mail merges and spreadsheets.
  • Experience working within a CRM database (i.e. Blackbaud’s Raiser’s Edge.).
  • Experience in data entry, quality checks, gift processing or similar fields.
  • Experience managing and communicating processes and procedures.
  • Demonstrated ability to multitask and prioritize.
  • Demonstrated ability to work well under pressure and with tight deadlines.
  • Ability to perform a wide range of duties and tasks.
  • Ability to interact effectively as a member of a team and work collaboratively with faculty and staff.
  • Attention to detail.
  • Ability to take ownership and personal accountability.
  • Excellent oral and written communication skills.

Minimum Qualifications:

Bachelor’s Degree or equivalent experience.

Preferred Qualifications:

  • Bachelor’s Degree and 2 years of professional work experience or equivalent relevant experience.
  • Higher education fundraising within the context of a comprehensive campaign.

Salary and Benefits:

Salary range is $49,732.80 to $56,804.80 annually and is commensurate with experience. Boise State University provides a best-in-class benefits package, including (but not limited to):
