This role is responsible for coordinating orders, supplier communication, freight follow-up, operational administration, customer support, and workflow management to ensure orders and enquiries are managed accurately and within required timeframes.
Main Duties & Responsibilities
Operational Coordination
- Coordinate day-to-day operational activities across the Services division.
- Monitor and manage order progression from placement through to dispatch and completion.
- Liaise with suppliers regarding production updates, delivery timelines, shortages and issues.
- Coordinate freight bookings, dispatch follow-up and delivery tracking.
- Assist with managing operational workflows and escalations.
Customer & Order Support
- Support customer enquiries via phone and email.
- Assist with order amendments, delivery updates, returns and credits.
- Work closely with Customer Care and internal teams to resolve operational issues efficiently.
- Ensure a high level of customer service is maintained across all channels.
Systems & Administration
- Maintain accurate records across systems including Pronto Trello and Magento.
- Assist with operational reporting and administrative tasks.
- Support process documentation and updates to operational procedures.
- Ensure customer, supplier and order information is maintained accurately.
Supplier & Logistics Support
- Build and maintain positive working relationships with suppliers and freight providers.
- Follow up delayed orders, dispatch issues and delivery exceptions.
- Assist with freight reconciliations and operational administration where required.
Team Support
- Work collaboratively with the wider Services team to support daily operational requirements.
- Provide support during peak periods, staff leave and business changes.
- Assist with onboarding and process training where required.
WHS & Compliance
- Follow all company WHS policies and procedures.
- Ensure operational activities are completed in line with company processes and compliance requirements.
Skills & Experience
- Previous experience in operations, customer service, administration or coordination roles.
- Strong organisational and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High attention to detail and accuracy.
- Strong communication and problem-solving skills.
- Experience using ERP or order management systems is highly regarded.
- Intermediate computer skills across Microsoft Office and operational systems.
