Handle general HR inquires and resolve administrative and office operational issues. Maintain confidentiality of personnel records and materials used to perform Human Resources duties. Coordinate HR front office functions to ensure the delivery of high quality customer service. Send Onboarding email and electronic documents to all new hires prior to first day of employment. Assist new employees with sign-in and process new hire and status change documents through to payroll. Process personnel transactions for students, staff, administrators and faculty including, but not limited to: appointments, status changes, benefits, leaves and separations via PeopleSoft systems for assigned population and provide back-up for the Analyst. Assist with data clean up and testing associated with system upgrades and implementations as well as development and maintenance of department website including creation of accessible forms used for HR/Payroll processes. Run scheduled queries through PeopleSoft. Maintain Classification and Compensation log and prepare salary comparison for use by Classification personnel. Develop working knowledge of the campus in order to provide assistance to campus community and visitors. Openly receive and offer suggestions to improve work production or service. Operate a variety of office machinery including copiers, printers and fax machine. Other duties as assigned include but are not limited to: create and maintain spreadsheets and meeting minutes; establish and maintain confidential personnel files; greet visitors and answer phones; screen and distribute mail; assist with special projects as assigned.
Two years' experience in administrative assistant position, preferably in Human Resources with proven track record of increased responsibilities or the equivalent combination of education and experience. Additional experience in high volume and/or bilingual office environment preferred. The successful candidate will be a highly motivated self-starter with the ability to work with minimal supervision, have general office/clerical work experience and a thorough knowledge of: English grammar, spelling and punctuation; office methods, and procedures and practices. Proficient in Microsoft Office including Word, Excel, PowerPoint, etc.; must possess aptitude to learn new office technology systems and software packages quickly, experience with PeopleSoft software highly preferred. Experience with Adobe Acrobat and/or website maintenance is a plus. The incumbent must have the ability to: interpret, communicate, and apply a variety of complex policies and procedures and be able to identify deviations from applicable policies and use effective problem solving and interpersonal skills. Must handle multiple tasks simultaneously, set priorities and meet deadlines; draft and prepare clear and accurate email and other correspondence. Work often involves front line contact with a variety of campus and community members. The incumbent must demonstrate excellent interpersonal and customer service skills in order to communicate effectively and maintain a calm demeanor, even in stressful situations. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to track and compare HR/Payroll data with a high level of accuracy. Must exercise sound judgment when interacting with others. Must maintain confidentiality and a high degree of professionalism in all interactions.
