About the role

Mater Health Services has an exciting opportunity for a permanent part-time, 16 hours per week Administration Officer to provide administrative support to the Central Nursing Office. Required to be available 06:45- 15:15 every Wednesday and alternative Thursdays/Fridays.

Salary range: $35.45 - $39.62 (MCAS3) per hour plus superannuation and salary packaging. 

What you’ll be doing

As an Administration Officer, your role will involve:

  • General administrative support for the Central Nursing Office
  • Management and screening of incoming telephone calls and emails and escalating as appropriate
  • Maintain a high level of discretion and confidentiality, complying with administration, and financial policy and procedures, maintaining accurate, current, and accessible files, including maintenance of records of relevant meetings and discussions
  • Continually demonstrate highly developed written communication skills including ability to draft routine correspondence on behalf of the senior management
  • Liaising with Nursing Managers/ Nursing Team Leaders to identify staffing deficits
  • You will need to have strong engagement with the Nurse Managers of the Hospital you are providing roster relief, casual or agency staff too
  • Booking and managing staffing deficits on ShiftMatch and Trendcare
  • Editing and approving nursing shifts on Kronos
  • Assisting with Central Nursing Manager with onboarding new employee
  • Maintaining accurate records, managing electronic and paper files
  • Stock ordering of stationary
  • Liaising and having a professional relationship with Nursing Agencies for staffing and invoicing purposes
  • Receiving and providing handover to the After-Hours Nurse Manager relating to staffing for that hospital
  • Assisting Central Nursing employees with general enquires

About you

To be successful in this role you will have the following skills and experience:

  • Highly experienced in providing medical administration support would be a great advantage
  • A solid understanding of the Nursing structure would be a great advantage
  • High attention to detail and accurate data entry skills
  • Experience using Kronos Payroll System, Trendcare, Shift Match or similar would be highly advantageous
  • Demonstrated ability to multitask and manage conflicting priorities from multiple stakeholders
  • Strong computer skills including competence in using Patient Administration systems (or the ability to quickly learn new systems)
  • Excellent customer service and interpersonal communication skills
  • The ability to work both autonomously and as a part of a team when required
