We have an exciting, permanent full time opportunity for Senior Administration Officer to join the Mater Young Adult and Mental Health Services team. This role will see you supporting the Administration Manager for the service and be the first point of contact for our leadership team and clinical staff.
Salary range: $36.52 - $40.81 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
In this role you will be responsible for but are not limited to:
- Providing day to day administrative support to the Directors and Senior Manager of the service.
- Supporting clinicians and leaders with daily general administrative tasks as required including but not limited diary management, payroll, end to end human resources tasks, purchase orders and meetings support.
- Providing relief to all other Administrative functions across the services as required
- Efficiently representing Mater with strong customer focus to clinicians, patients, and visitors ensuring effective communication between various departments within the hospital
- Confidentially prepare leadership, clinician and patient documentation and support other administrative functions such as outlook calendars, photocopying, billing, filing, mail, sending SMS’s, booking transport and interpreters.
- Provide accurate data entry using various network-based information systems
- Ensure effective, accurate and timely written & verbal communications with staff and clients, with confidentiality, sensitivity and discretion
- Work collaboratively with and across a multidisciplinary team including: Medical, Nursing, Allied Health, Administration, Pharmacy, etc.
About you
We are looking for a professional, experienced Senior Administrator who is adaptable to change, works well in busy environments, with excellent problem-solving skills.
The successful candidate will possess:
- High level customer service, verbal and written communication skills
- Demonstrated ability to provide efficient and effective administrative support, working autonomously taking initiative and ownership for your role and responsibilities.
- Demonstrated ability to communicate effectively with all levels of staff, patients and visitors
- Accurate data entry skills with a high level proficiency in Microsoft Office
- Proven experience in organising and prioritising work effectively within busy, demanding, fast paced environments
- Demonstrated ability and willingness to adapt and learn new systems and changing working processes quickly and efficiently and to work collaboratively to support your peers.
- To be reliable, adaptable, punctual and flexible
- A solution focused, mature, can-do attitude.
- An understanding of medical terminology and/or healthcare systems would be an advantage.
