About the role

Mater Hospital Brisbane is seeking an experienced Senior Administration Officer to join our Wards & Inpatient Admin team within our Operating Theatres in a full-time, permanent position.

This is an excellent opportunity to play a pivotal role behind the scenes, providing essential administrative support across both Adult and Mothers' Theatres. Working within one of Queensland's leading healthcare organisations, you'll help ensure our theatre services run efficiently, enabling our clinical teams to focus on delivering exceptional patient care. The role is responsible for assisting with coordinating operational and administrative functions for the safe and efficient day-to-day running of our theatre services.

Salary range: $39.79 - $44.25 per hour plus casual loading, plus superannuation andaccess to not-for-profit salary packaging up to $15,900  +access to many staff benefits!

What you’ll be doing

As a valued administrative member of our team, you'll provide high-level administrative support across a broad range of operational activities, including:

  • Producing and maintaining daily theatre lists across Adult and Mothers' Theatres
  • Producing and updating on-call rosters and supporting workforce coordination using Kronos and Confluence
  • Maintaining accurate patient documentation, records and theatre administration systems
  • Preparing registry reporting and ensuring compliance with reporting requirements
  • Assisting with ordering, stock control and inventory processes to support theatre operations
  • Providing reception and frontline administrative support for theatre staff and clinical teams
  • Liaising with multidisciplinary stakeholders to ensure seamless communication and workflow
  • Supporting operational reporting, data management and continuous service improvement initiatives
  • Assisting with general business support functions to ensure the efficient day-to-day operation of the department

About you

You'll be a highly organised administration professional who thrives in a fast-paced environment and enjoys supporting clinical teams through exceptional operational support.

You'll bring:

  • Previous experience in a senior administrative role, ideally within a hospital or healthcare environment. Experience in Theatre Administration is highly regarded
  • Experience managing multiple competing priorities while maintaining exceptional attention to detail
  • Strong organisational, time management and problem-solving skills
  • Excellent written and verbal communication skills with the ability to build effective working relationships across multidisciplinary teams
  • Intermediate Microsoft Office skills and confidence learning and working across multiple software systems
  • Previous experience with process improvement is favourable
  • Experience using health information systems or workforce management systems (such as Kronos) will be highly regarded
  • A proactive approach with the ability to work independently while contributing positively to a collaborative team
  • A commitment to delivering outstanding customer service and supporting positive patient experiences
  • A naturally inquisitive mindset with the ability to identify opportunities to improve processes and operational efficiency
