About the role
Working from our Camberwell hub on a hybrid basis and reporting to the Regional Operations Manager, you will be at the centre of a growing national Retirement Living portfolio. You will guide contracts from sale through to settlement and exit, working alongside Sales, Operations, Finance, Legal and our village teams to keep every step clear, compliant and caring.
As we welcome new villages into the BaptistCare family, you will also help shape how contracts are managed across the portfolio. Your work will make a lasting difference to both the business and the residents it serves.
What you'll do
- Manage end-to-end contract administration, from sale through to settlement and resident exit
- Ensure compliance with Retirement Living legislation across jurisdictions (VIC, NSW, ACT, TAS and WA), identifying risk and escalating appropriately
- Process ingoing contributions, refunds and buy-back/capital gain arrangements in line with legislation and contract terms
- Maintain contract templates, version control and audit-ready records across our centralised systems (Epicor/Vision 5 or equivalent)
- Prepare vacancy, milestone and monthly reporting, and help build Power BI reporting for the business
- Coordinate annual recurrent charge increase letters with our Retirement Living Finance team
- Support financial administration including receipting, purchase orders, invoices and payment requests
- Drive continuous improvement by standardising processes and strengthening the end-to-end sales and contract workflow
About you
You take pride in getting the detail right and enjoy building order and clear process in a regulated environment. You will bring:
- Experience in contract, settlement or compliance administration within a regulated environment such as retirement living, aged care, property, conveyancing or financial services
- Audit-ready record keeping and a strong understanding of compliance documentation
- Excellent numeracy, with experience in data entry or reconciliations
- Confidence managing multiple stakeholders and competing deadlines with minimal supervision
- Clear, warm written and verbal communication, including handling sensitive conversations with residents, families and legal representatives
- Post-secondary qualifications in a related field, or equivalent experience
- Advanced Microsoft Office skills; experience with Epicor/Vision 5, Salesforce, Power BI or Microsoft Copilot is highly regarded
- A current driver's licence and your own reliable vehicle
- Full and ongoing right to work in Australia and a satisfactory National Police Check
Knowledge of Retirement Living legislation is highly regarded, and we welcome applicants whose experience in conveyancing, property settlements or aged care accommodation payments has prepared them to learn it quickly.

- 2 days in our Camberwell office, working alongside the Retirement Living team
- Up to 1 day visiting our villages, connecting with village teams and residents
- 2 days working from home
