Key Responsibilities:
Office Operations and Procedure Management
• Develop, analyze, review, and implement office procedures to ensure efficient workflow.
• Interpret and apply department and college policies and procedures.
• Monitor and manage office expenditures in line with budgetary guidelines.
• Adapt or modify existing processes to support new methods or procedures.
• Maintain office functionality in the absence of departmental leadership.
Administrative and Records Oversight
• Perform and oversee specialized recordkeeping, data collection, and database management.
• Prepare reports and ensure compliance with internal and external reporting requirements.
• Compose and edit complex administrative correspondence, reports, and technical documentation.
• Prepare, transcribe, and distribute meeting agendas and minutes.
Customer Service and Communication
• Manage a busy phone line, fielding a high volume of calls daily and providing accurate information or routing as needed.
• Respond effectively to inquiries regarding departmental services and procedures.
• Resolve or refer administrative problems to appropriate individuals.
• Prepare timely and accurate responses to written inquiries.
• Communicate in a professional manner that reflects CWI’s values and service standards.
Team Support and Training
• Train others on office procedures, software, and equipment usage.
• Oversee general office support activities such as phone coverage and workflow coordination.
• Support and uphold team performance by maintaining consistency in administrative operations.
• Perform additional duties as assigned to support department goals.
What We're Looking For:
• Five years, minimum, of related experience preferred.
• Strong interpersonal skills and proven ability to develop and maintain collegial relationships. Must be flexible, collaborative and have a positive attitude.
• Proven ability to work independently and handle multiple priorities within a complex office environment.
• Well-developed problem-solving skills and ability to plan, organize, and complete complex tasks.
• Ability to write original instructions, reports, and other routine business correspondence and memoranda.
• Strong working proficiency in Microsoft Office Suite (i.e., Word, Excel, PowerPoint,Outlook, etc.).
• Exceptional verbal and written communication skills and the ability to type 50 wpm.
• Ability to effectively present information and respond professionally to questions in one-on-one
and in group situations.

**Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week, eligibility for remote work is determined on a case-by-case basis at the hiring manager's discretion. All candidates must reside within, or be willing to relocate to, a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
