The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a Correctional Records Clerk II to perform difficult to complex clerical work regarding master record files. This position processes and completes certification of prior conviction packets and completes requests for records from various United States District Courts Probation Offices for individuals who have pleaded or been found guilty in the respective U.S. District Court and were previously incarcerated in the Arizona Department of Corrections Rehabilitation and Reentry.

Job Duties:

- Processes and completes certification of prior conviction packets that come from prosecutor’s offices: Federal, State, County, District and Attorney General’s office
- Processes and completes Absolute Discharge Requests for offenders who have completed their sentence of imprisonment, community supervision time, and/or reached the sentence of expiration date
- Facilitates and conducts daily inmate record maintenance activities
- Acknowledges notification requests from other agencies
- Reviews court documents and enters data into computer systems
- Opens and distributes mail
- Sorts, files, copies, maintains and replaces documents and information in offender master record files
- Attends mandatory training classes
- Drives on State business
- Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- ADCRR policies and procedures pertaining to offender files
- State statutes pertaining to the release of information
- ACIS Arizona Correctional Information Systems
- Alpha/numeric digit filing systems
- English usage and spelling
- Office practices and procedures
- Customer service
- Personal computers and software including Microsoft Office and Google Suite
- Outside agency rules and regulations for storage and retrieval of offender records

Skill in:
- Written and verbal communication
- Operation of a computer terminal, office machines, and equipment
- Monitoring the accuracy of offender records and documents
- Time management and organization of duties
- Critical thinking and attention to detail
- Interpreting time computation records for release dates

Ability to:
- Operate various office equipment including faxes, phones, scanners, and copiers
- Multi-task
- Learn through repetition, practice, and on-the-job training

Selective Preference(s):

- One (1) year of experience interpreting court documents and legal terminology
- Experience with ACIS
- Must have previous filing experience in an office environment
- High School Diploma or General Education Development (GED)

Pre-Employment Requirements:

In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

Requires possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
