This position will work in a hybrid work environment with approximately 1 day a week in the office and the remaining 4 days a week remote.  Depending on the needs of the Agency, more days in office per week may be required.

JOB SUMMARY:
The Arizona Public Safety Personnel Retirement System (PSPRS) is currently seeking qualified candidates for the position of Retirement Specialist Supervisor. The Active Member Services Retirement Specialist Supervisor, under the direction of the Active Members Manager, is responsible for the assignment of some work duties and prioritizing assignments within the work unit as specified and auditing work product for unit performance. This role will also have some supervisory roles to take the burden off of the Manager.

This position may be available for remote work within Arizona with 1 day per week in the office/hoteling depending on the department's business needs and continual meeting of expected performance measures.

Job Duties:

The Retirement Specialist Supervisor is responsible to:

  • Audit all service purchases and transfers and ensure the correct plan is used in preparing the calculation. Determine that the calculation table used is consistent with the requirements of statue; note any corrections needed and return to active member specialist to make changes.
  • Prepare service purchase and transfer calculations for the active and inactive membership which includes:
    • military service
    • prior service from an AZ state retirement plan
    • prior qualified service from outside an AZ state retirement plan
    • prior reserve firefighter service.
  • Provide support to active member specialist on calculations that are unusual or difficult and require special consideration; advise on a course of action and offer insight on ways to handle the situation.
  • Responsible for assigning and approving refunds.
  • Responsible for training active member staff on department processes. This includes instructions on membership forms, change forms, service purchases, and transfers.
  • Establish methods to measure progress and focus on areas of need. Mentor department personnel; provide coaching that will instill each staff member with a goal toward self-improvement.
  • Provide backup to the active member manager.
  • Ensure department directives are maintained, timeliness goals are met, and new or ongoing issues are addressed should the department manager not be available.
  • Prioritize and distribute workload. This includes all membership and change forms, service purchase and transfer requests, and any other assignments deemed necessary by the active member manager.
  • Participate in workgroup for the new Pension system (STARS), as needed.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • State and federal statutes as they relate to the retirement plans.
  • Policies and procedures related to the operations of the Member Services division.
  • Accounting and auditing principles sufficient to provide general information to members.
  • Rules of grammar and composition to prepare, review and edit documents.
  • Records management systems (automated and manual) State Retirement System benefit programs.

Skill in:

  • Participating in teams and work groups for formulating a team approach to problem solving and plan development.
  • Composing, editing correspondence and forms.
  • The use of computer programs.
  • The application of problem solving techniques.
  • Providing high level customer service.
  • Effectively explaining complex system policies and procedures to others.

Ability to:

  • Exercise sound judgment in safeguarding confidential or sensitive information.
  • Apply laws, rules and regulations applicable to the retirement system.
  • Establish and maintain effective working relationships with those contacted in the course of the position's areas of responsibility.
  • Effectively communicate across all mediums.
  • Organize, prioritize, and perform multiple tasks.
  • Work within stringent deadlines to complete projects and assignments.
  • Read, comprehend and interpret complex materials.

Positions in this classification participate in the Arizona State Retirement System (ASRS). Please note that enrollment eligibility becomes effective after 27 weeks of employment.
