The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a qualified leader to oversee the maintenance and management of the daily operations of the records department within the Arizona State Prison Complex - Phoenix. Strong organizational skills, effective communication, and supervisory skills are essential for managing this important function of this role within ADCRR.

Job Duties: |
- Oversees daily operations of the records department
- Trains, supervises and evaluates assigned staff
- Assists and ensures special projects are completed
- Reviews and assists staff in all records functions including releases and detainer’s
- Interviews and hires for vacant Correctional Clerk I and II, Correctional Records Tech I’s and positions
- Tracks all incoming documents for filing and ensures all are filed accurately and in a timely manner
- Ensures record retention is in compliance with schedule
- Prepares weekly reports
- Drive on State business
- Performs other duties appropriate to the assignment
Knowledge, Skills & Abilities (KSAs): |
Knowledge of:
- Release information pursuant to Arizona Revised Statute (ARS) 31-221, Public Information Act, ADCRR policies and procedures
- General office practices
- ADCRR computer system, Arizona Correctional Information System (ACIS), filing systems (alpha/numerical, terminal, and current ADCRR filing format)
- ADCRR organizational-supervision techniques
- Testifying in court
Skill in:
- Interpreting and applying rules and ADCRR policies and procedures as they apply to offender records
- Organization
- Written and verbal communication
- Establishing and maintaining interpersonal relationships
- Customer service
- Attention to detail
- Operation and use of AIMS, Google Suite
- Interpreting ACIS screens
- Testifying in court, analytical, proof-reading, and interpreting laws and statutes
Ability to:
- Interpret and appropriately respond to other agencies’ requests, i.e. placement of detainer or response to ADCRR detainers
- Understand requirements to enhance former inmates’ sentences with the use of prior packets and procedures for testifying in court on prior packets and detainers
- Interact with all organizational levels within all law enforcement agencies
- Assist in streamlining processes for higher productivity
- Motivate staff
- Work in a prison environment
Selective Preference(s): |
- Progressive experience in a law enforcement records environment
Pre-Employment Requirements: |
Employment is contingent on the selected applicant passing a background investigation and drug test.
In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.
If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
