Job Summary: |
This position performs administrative duties necessary for the function of the Surface Water Protection Section, including supporting three managers and two units. Regular tasks include scheduling, answering email and phone inquiries, records management, data entry and management, creating and updating visual work management tools such as Trello, establishing and updating standard operating procedures, performing purchasing and billing tasks, and other administrative functions to support the section's programs.
This position may be available for remote work within Arizona (1 days per week in the office/hoteling).

Job Duties: |
- Program Manager Support: Manage calendars, schedule and coordinate meetings, keep meeting minutes, follow up on action items, perform research, draft communications, proofread documents, perform document and file management, create and update visual work management tools, track spending.
- Administrative Tasks: Perform data entry and data management, perform document and file management, handle records requests, handle mail, create and update standard operating procedures.
- Business and Finance Tasks: Assist with preparation of travel paperwork, perform purchasing and billing processes, support management of grants and contracts.
- Public Communications: Address inquires and complaints from external parties.
- Other duties as assigned as related to the position.

- Knowledge of: the principles and practices of administration and management; agency or program rules, regulations, operating procedures; LEAN concepts, principles, and tools used to create and deliver the most value from the customer's perspective while consuming the fewest resources.
- Skills in: time management; gathering and organizing facts, information, and data; maintaining files and records; completing tasks accurately and quickly; effective verbal and written communication; providing customer service; developing standardized documentation; use of common computer software such as G-Suite/Workplace and Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
- Ability to: plan, organize, and prioritize tasks; work under pressure meeting deadline; adapt to changing assignments and priorities; work as a team player within several teams; establish and maintain effective and positive working relationships with agency staff and the public; learn new software and tools quickly; solve problems; exhibit personal initiative; communicate with tact, diplomacy, and appropriate timely information; effectively interact with a wide range of internal and external customers; work independently with minimal supervision; learn and apply LEAN concepts, principles and tools used to create and deliver the most value from the customer's perspective while consuming the fewest resources, and engaging people in continuous problem solving.
