Job Summary:

This position will provide support and perform a variety of administrative functions for the Construction Group. This position will assist with processing purchase orders and receipts in the
Arizona Procurement Portal as well as organizing and sorting deliveries and mail.

Will serve as the group's direct bill program liaison and assist employees with booking instate and out of state travel. Will be a proxy for AZ360 timesheet functions and will maintain the group's labor distribution profile database.

Will maintain office equipment inventory and be the contact person for requesting service or repairs. Works closely with the Materials and Construction ASO with interview preparations and processing new hire paperwork.

Job Duties:

Performs a variety of administrative tasks including but not limited to organizing and delivering mail, answer phones, opening the front door for guests, making copies and keeping the copy room areas tidy and stocked.

Serve as the direct bill liaison; submitting direct bill requests for employees, making hotel reservations, and working with the contracted travel agency to book airfare with a department ghost card.

Assist the procurement specialist with processing orders, creating receipts, and filing paperwork. May need to drive a State vehicle to deliver orders to other offices.

Assist employees with AZ360 including creating and approving timesheets as needed as well as coordinating with Payroll to ensure the units labor distribution profiles are accurate.

Assists the ASO with interview preparation and processing new hire paperwork.

Other duties as assigned as related to the position.

Knowledge:
- Business office management and best practices.
- ADOT's procurement procedures and the AZ Procurement Portal.
- AZ360 personnel program.
- ADOT direct bill program.

Skills:
- Organizing and tracking information and files.
- Multitasking and adapting to daily changes.
- Communicating, written and oral, effectively with various employees, vendors, contractors, and citizens.
- Various computer software programs such as Google Workplace and Microsoft Office.

Ability:
- Manage changing priorities and tasks.
- Manage work independently and complete tasks with little oversight.
- Give and receive constructive feedback in a professional manner.

Selective Preference(s):

Work experience as an administrative assistant 2 or equivalent position.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
