Job Summary:

This position provides administrative and logistical support to the regional administration team. It serves as a key resource for coordinating communication, scheduling, fleet management, supply ordering, and facility needs. The position also supports field administrative staff by providing training, guidance, and follow-up on identified concerns. The position assists with on-boarding and training of new staff and ensures consistency of administrative processes across the region.

Job Duties:

This position reports directly to the Regional Program Administrator.

- The position creates and updates spreadsheets and Regional Reports as directed; helps support staff with their job functions and fill in where necessary.

- Sets travel for Regional management and manages State vehicles.

- Point of Contact for building issues for the Region. Oversees compliance with Risk Management for the Region to ensure all 7 offices in different cities are utilizing current resources.

- Point of Contact for all 7 offices to ensure all government vehicles are kept up, and works alongside fleet to roll out policies and procedures for government vehicles.

- Assists with on-boarding and training of new staff and ensures consistency with administrative processes across the region.

- Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- Principles and practices of administration and management.
- Monitoring, creating and maintaining Excel spreadsheets.
- Microsoft Office Suite
- Methods of researching files to retrieve and update information
- Basic office and clerical procedures

Skill in:
- Verbal and written communication
- Typing, office equipment, telephones, and data entry.

Ability to:
- Apply policy, standard work, and rules to varying types of requests
- Learn the Regional Structure
- Learn and adhere to DCS policies and procedures
- Work with confidential information and maintain confidentiality
- Meet multiple demands from different sources in a timely manner

Pre-Employment Requirements:

- High school diploma or GED

- Possession of and ability to retain a current, valid Arizona driver's license

- Employees who drive on state business will require the possession of and ability to retain a current, valid state-issued driver's license. Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records and must complete any driver training (see Arizona Administrative Code R2-10-207.11).

- Employees may be required to use their own transportation as well as maintain motor vehicle insurance and current Arizona vehicle registration. Mileage may be reimbursed if applicable (Arizona Administrative Code Revised 1/29/2020).

This position requires driving or the use of a vehicle as an essential function of the job to conduct State business, and the following requirements apply: Driver’s License Requirements.

Positions in this classification participate in the Arizona State Retirement System (ASRS).
